The general function of the position within the organization is to perform administrative duties, in addition to, providing clerical support for the County Board Chair, County Board Members, Commissions and Committees. This position coordinates the development of committee/meeting agendas, processing of committee action and records and maintains meeting minutes.

This position has some supervisory responsibility. This position is under administrative direction, reporting to the Assistant County Administrator.

Description:

Responsible for all secretarial/administrative support functions for the County Board Chair, County Commissions and County Board Members.

Coordinates the organization/processing of data entered into an automated system to develop agendas for official meetings of the Board and Commissions, ensuring the system is operating properly, and that the agenda content is accurate and understandable.

Coordinates and processes Board and Committee actions; Ensures affected parties are notified of action taken; Takes, transcribes and maintains minutes of meetings; Ensures compliance with meeting notifications rules and regulations.

Edits and reviews content of ordinances and resolutions to ensure that information is accurate and consistent with established protocols; Follows-up with Liaisons to correct and compose documents for Board and Committee action.

Writes resolutions, proclamations, reappointment letters and appointment letters.

Processes liquor licenses, tracks renewals and notifies license holders of compliance issues; Runs background checks of license holders on an annual basis; Reports non-compliant action.

Evaluates, prioritizes and completes daily work responsibilities independently.

Interacts with departments, outside agencies and business owners, providing requested information regarding documentation, meetings, notices and compliance to established protocols.

Formats and maintains master files on all documents and correspondence; operates the County-wide database system that organizes financial and personnel information; manages calendars; and schedules appointments and meetings for as necessary.

Prepares travel arrangements and registrations for seminars and meetings as necessary.

Supervises employee(s) in the accomplishment of tasks; conducts performance evaluations, assigns work and ensures compliance with work rules.

 Performs other duties as assigned.

Requirements:

Requires five (5) years of related experience, with comparable clerical experience.

Performs coordinating work involving guidelines and rules with constant problem solving; Requires continuous, close attention for accurate results or frequent exposure to unusual pressure.

Requires education or training equivalent to an Associate’s Degree. Requires training in General Business and Administrative office procedures.

Handles or uses machines, tools, or equipment requiring moderate instruction and experience such as computers, software programs, such as Word, Excel, or custom applications.
