The incumbent must have knowledge of public administration principles, practices, and methods; and budget policies and procedures. The incumbent must have excellent communication skills, including written, verbal, and listening skills. The incumbent must have the ability to learn, interpret, and apply a wide variety of policies and procedures; organize and plan work and projects including handling multiple priorities; make independent decisions, exercise sound judgment, and solve problems; organize and plan work and projects including handling multiple priorities; analyze financial data and make accurate projections; maintain strict confidentiality in all matters; establish and maintain effective working relationships; maintain effective working relationships within and outside of the department and serve as a liaison; and proficiency with computers using Microsoft Windows and Microsoft Office. Job Summary Under general supervision from the Department Chair, this temporary position is responsible for duties related to the overall administrative and clerical support functions of the department. This position will provide department office reception acting as the first point of contact for visitors, students, and faculty. The position assists the department in ensuring campus policies and procedures are followed, provides work direction to student assistants, and coordinates a wide variety of administrative functions which may include scheduling, procurement, travel, events, and more. Act as first point of contact in the department office for visiting guests, students, staff, and faculty and assist/redirect as needed. Hire and provide work direction to student assistants including but not limited to scheduling and assigning work. Act as the department student timekeeper assisting faculty with hiring and monthly timesheet approvals for both Student Assistants and Instructional Student Assistants. Prepare documentation for department and committee meetings, take minutes, and set reminders for follow-up items. Manage department room calendars and work directly with faculty on room reservations. Schedule department meeting spaces and rooms. Coordinate and support department events.
