Draft and/or prepare and proofread correspondence, emails, spreadsheets, presentations, reports, and Division of Learning Services' agenda items for the State Board of Education in order to ensure proper format and grammatical structure before submitting to the deputy. Schedule and/or arrange for hotel rooms, meals, conference rooms and equipment, transportation, and other travel arrangements in support of the deputy, and/or staff, schedules, and meeting requirements and location. Prepare expense reimbursement, invoice payment, purchase requisitions, and other forms for appropriate signature before forwarding for processing. Review and approve Division of Learning Services expense reports in MoDocs. Confirm appropriate staff ETA coding and approve the document from Human Resources on a bi-monthly basis. Create and maintain file system (electronic) in order to facilitate retrieval of documents at a later date. Meet with other support staff in order to communicate standards, procedures, disseminate information, or to coordinate effort. Provide backup to the offices within the Commissioner's office, the Deputy of the Division of Financial and Administrative Services, and the State Board of Education. Prepare personnel requisitions, hire forms, and hire letters for office personnel. Scan final personnel forms into common folder for both deputy offices to use. Possess work experience that has prepared an individual to perform the duties of special assistant to upper management. The OJC is committed to educating the public on the value and responsibility of serving as a juror, and to providing courteous, professional service to the public and the courts. This includes using a web application to access archived documents. Prepares legal documents such as applications for criminal complaint and pleadings for filing. Assists in preparing notices of hearing on application for criminal complaint for mailing. Provides assistance to Legal Counsel and Deputy Legal Counsel at show cause hearings on applications for criminal complaint. Provides post-show cause hearing support to Legal Counsel and Deputy Legal Counsel, including preparing and mailing hearing-related correspondence to delinquent jurors. Backs up Telephone Schedulers, Data Entry personnel, Operations Coordinators, and other OJC personnel as required. Assists with special projects as required. Performs related duties as required. Receives training and assists experienced users on the OJC’s juror management software system, including jury service schedule and location changes, juror service disqualification processing and delinquency-related notice generation. Reviews and analyzes juror history records in connection with juror service disqualifications, which includes identifying discrepancies and taking action to resolve such discrepancies within established guidelines or referring unusual problems to a supervisor. This includes using a web application to access archived documents. Prepares legal documents such as applications for criminal complaint and pleadings for filing. Assists in preparing notices of hearing on application for criminal complaint for mailing. Provides assistance to Legal Counsel and Deputy Legal Counsel at show cause hearings on applications for criminal complaint. Provides post-show cause hearing support to Legal Counsel and Deputy Legal Counsel, including preparing and mailing hearing-related correspondence to delinquent jurors. Backs up Telephone Schedulers, Data Entry personnel, Operations Coordinators, and other OJC personnel as required. Assists with special projects as required. Performs related duties as required. Legal Assistant II Duties: Working under the direction of the Delinquent Juror Prosecution Program Administrator and the supervision of the Legal Counsel and Deputy Legal Counsel, the Legal Assistant II: Responds to more difficult and sensitive requests for information from jurors, attorneys, court personnel and the general public. Serves as resource person to employees in the office and to employees in other offices, including answering questions and assisting in resolving problems. Performs advanced analysis of juror history records in connection with projects, exercising independent judgment concerning appropriate action. Assists in the preparation of statistical and written reports; and may prepare such reports independently. Backs up Delinquent Juror Prosecution Program Administrator as required. Provides administrative support to the DJPP Administrator for special projects and initiatives. Prepares a variety of documents and correspondence requiring knowledge of statutes, office policies, and the OJC’s juror management software system. Assists in the training of new employees. Performs special projects as required. Performs all of the duties of the lower level as required; Performs related duties as required. Minimum Requirements: These are the minimum requirements necessary to apply for a position of Legal Assistant. Legal Assistant I Requirements: Graduation from high school or its equivalent; Associate degree preferred. Clerical and customer service experience. Ability and experience using personal computers, including word processing software such as MS Word. Experience with spreadsheet software such as MS Excel is preferred. Provides effective professional liaison between the City Manager’s Office and other City personnel, the general public, local businesses, and other Federal, State, and local agencies
Researches special projects or assignments for the City Manager, and oversees project assignments to ensure successful completion
Participates in the organization of special task forces and projects designed to address organizational management, administrative and community problems and needs as directed by the City Manager
Collaborates with the City Manager, City Commission and City department and division heads in the development of recommendations for enhancing City operations and services, including assuming lead staff responsibility in management studies aimed at improving the efficiency and effectiveness of City operations
Participates in the development and management of the City’s annual budget and capital improvement plan in accordance with policies established by the City Commission
Communicates with all related personnel in efforts to encourage, motivate, promote leadership, and encourage teamwork in accomplishing set forth objectives
Works with both elected and appointed City officials to solve internal organizational problems within Departments and Divisions and across departmental and jurisdictional lines

Salary
The salary range for this position is between $184,000 to $202,000 commensurate with experience along with a comprehensive benefits package that includes 15% additional compensation that may be used to supplement housing costs or deposited into a supplemental retirement plan. Relocation expenses will be reimbursed up to $10,000. Temporary housing may also be available for the successful candidate, if coming from out of the area.
