CLASSIFICATION STANDARDS: Positions allocable to this class report to a Central Service Supervisor, manager, or in some instances, medical and nursing staff, and may be assigned to perform work in various sections of central services or in ancillary hospital units on a rotation management basis. As the journey level class, the incumbents carry out a wide variety of assignments under general supervision. Loads and unloads supply carts and delivers sterile processed supplies to service areas, and collects and delivers used supplies back to processing area. *Internal Recruitment Only* Job Summary: Under general direction, the University Honors Program ASC coordinates the entire administrative support functions for staff and office activities required for the program to adequately serve its growing student body while collaborating with the Director to perform regular to complex procedural aspects of program operations. The ASC coordinates large scale, complex projects with broad, visible impact that involve coordination with other departments are planned and executed, including program strategies and activities. Duties and responsibilities Administrative Coordination Assist Honors Director with Ad Hoc reports and other administrative duties. Submits online Staples orders for office supplies, equipment, hardware, and software on a regular and as-needed basis. Train and provide lead work direction graduate and student assistants. Assign and monitor progress on projects given to student assistants. Provides administrative support to the Honors Director, Assistant Director, and SSP. Informs appropriate supervisors when a staff member is absent. Schedules staff and committee meetings. Obtains and distributes staff paychecks. Prepares, submits, and tracks department duplicating requests to Printing Services. Creates and updates front desk operations manual. Creates office procedures. Programming Support the SSP with the organization and promotion of programs, workshops, and information sessions for students in the UHP, including but not limited to, programs focused on the UHP’s sub-populations, such as the Residential Honors Scholars, PAES students, and pre-Nursing and Nursing majors. Procure supplies and materials for programs sponsored by the UHP. Support the UHP Student Board in reserving event spaces and procuring supplies and materials. Send program- and campus-wide announcements and invitations for UHP-sponsored events. Participate in the intellectual community of the University Honors Program, including attendance at symposia, and Honors Program events as a full member of the University Honors community. Schedule educational field trips, schedule transportation, collect waivers of liability and deposits from students, and coordinate chaperone(s) for student travel to honors conference and excursions. Coordinate with Recreation & Wellness to sponsor adventure trips operated by R & W. Scheduling Build Honors courses and troubleshoot any scheduling and EMS related issues. Assist the University Honors Program (UHP) Faculty Director with recruitment of faculty to teach Honors courses, including hiring and keeping all faculty recruitment materials, as well as issuing faculty contracts. Assist students with course scheduling issues, holds, and course permits. Budget Management Monitors and maintains department contracts (i.e. Copy machine, telephones) in collaboration with the Administrative Analyst/Specialist (AAS) to maintain accurate budget records. Processes, obtains approval, submits, and monitors monthly payroll for all staff members in the department. Monitors the operating budget for the Honors Program and provide regular reports of expenditures and expense projections as requested by the Director and Academic Affairs. Public Contact Provides lead work direction to student assistants on initial student inquiries and/or directs the students to appropriate individuals or other campus offices. Sends information to individuals inquiring about the Honors program. Answers routine questions from university personnel and the general public regarding the Honors Programs and Activities. Additional Information EXAMINATION CONTENT: This examination consists of two parts: Part I - An Evaluation of Training and Experience based on application information and desirable qualifications weighted at 50%. Part II - An Interview covering training, experience, personal fitness and general ability to perform the duties of the position weighted at 50%. Candidates must achieve a passing score of 70% or higher on each weighted part of the examination in order to be placed on the eligible register.
