Job Description

Job Summary:

The incumbent will be responsible for providing information and guidance to prospective students on degree and professional programs, assisting prospective and current students with suitable solutions during the time of enrollment and admission process, student retention services, admission advising and counseling, and attending recruitment fairs to promote all PaCE programs.

Major Duties and Responsibilities:

Students Services:
  • Acquire prospective student information utilizing interviewing skills and active listening for student recruitment to the programs.
  • Provide information and guidance to prospective students on degree and certificate programs.
  • Assist prospective and current students with suitable solutions and course of actions for problems encountered for enrollment and/or completion of course/program.
  • Evaluate student needs and direct, guide, and/or advise of all available services.
  • Coordinate and administer programs events and projects.
  • Advocate for student needs and identify solutions in collaboration with campus partners.
  • Provide support and assistance to students facing a variety of personal, and institutional problems, questions and/or challenges.
  • Maintain accurate student information and status in department systems such as CRM.
  • Attend recruitment fairs and offer information sessions to promote all PaCE programs.
  • Assist the prospective students in next steps in the Admission process, missing documents/transcripts until applicants are fully admitted or denied.
  • Responsible for maintaining effective working relationships with a wide range of students, faculty and the general public.

Retention Services
  • Interact with students and follow up to inquire about progression in the programs at time specified for each program.
  • Identify solutions to ensure student retention in degree and certificate programs.
  • Run reports to monitor student engagement in degree and certificate programs.

Reports
  • Gather and analyze data.
  • Develop and maintain reports.
  • Prepare weekly reports on recruitment and enrollment activity.
  • Prepare semester reports with an analysis of each program

Orientation and Other
  • Provide prospective students with information regarding the preadmission process.
  • Schedule and conduct student orientations.
  • Maintain student handbook for degree programs and update as needed.
  • Other classification-related duties as assigned.


Minimum Qualifications:

Education:
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.
  • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities may be substituted for the required education on a year-for-year basis.

Experience:
  • Equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth.
  • A master’s degree in a job-related field may be substituted for one year of the professional experience.


Required Qualifications:

Knowledge and Abilities:
  • Working knowledge of the practices, procedures and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management.
  • General knowledge of research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multisexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas Services Office.


Preferred Qualifications:
  • Master’s degree.
  • Coordinating and administering program events or projects, preferably in higher, extended, or adult education.
  • Knowledge of interviewing and counseling techniques to facilitate enrollments.
  • Strong interpersonal communications.
  • Excellent oral and written English communication skills.
  • Proficiency in Microsoft Office Suite programs.
  • Candidates must be willing to maintain a flexible work schedule, occasionally working evenings and weekends and to travel domestically.


Compensation and Benefits:

Anticipated Hiring Range: $4,610 - $4,852 Per Month

Classification Salary Range: $4,610 - $6,556 Per Month

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time/Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
