Office Assistant Senior -> Starting at $16.53/hour Office Specialist -> Starting at $19.13/hour *Work schedule: Monday - Friday 8:00am - 5:00pm
Essential Job Functions Summary of Responsibilities: - Front Desk & Public Interaction :
- Staffs the front desk and main phone lines, providing courteous and professional customer service.
- Assists the public and staff with complex questions, complaints, and inquiries, directing them as needed.
- Administrative & Clerical Support :
- Assists throughout the department as needed and cross-trains to provide backup support.
- Composes correspondence, prepares reports, and maintains accurate records for County, State, Federal, and accrediting purposes.
- Conducts research using internal and public records to gather accurate information.
- Establishes, coordinates, and maintains organized filing systems, following State records retention and destruction schedules.
- Financial & Purchasing Duties :
- Manages accounts payables and receivables, including P-card processing, benefits invoice reconciliation, and workers’ compensation payments.
- Maintains inventory, purchasing records, and prepares related reports.
- Insurance & Driving Records :
- Reviews, tracks, and files Certificates of Insurance and Bonds, including contractor follow-ups.
- Processes and maintains employee driving and training records.
- Data Quality & Reporting :
- Compiles, audits, and verifies data for completeness and accuracy; resolves errors and omissions.
- Prepares and maintains a variety of databases, spreadsheets, and time/leave records.
- Professional Standards :
- Maintains confidentiality, professionalism, and clear, respectful communication at all times.
- Operates office equipment and adheres to departmental procedures and practices.
Minimum Qualifications Office Assistant Senior - High School diploma /GED (General Education Degree).
- Minimum of Three (3) years of progressively responsible administrative support experience:
- Two (2) of the Three (3) years performing specialized support in the assigned department/division or comparable agency/organization.
- OR An equivalent combination of education, experience, and training which provides the required knowledge, skills and abilities may be considered in meeting the minimum qualifications.
Office Specialist - High School diploma /GED (General Education Degree).
- Four (4) years minimum progressively responsible advanced administrative and clerical office support:
- Two (2) of the Four (4) years performing specialized support in the assigned department/division or comparable Mohave County Department.
- OR An equivalent combination of education, experience, and training which provides the required knowledge, skills and abilities may be considered in meeting the minimum qualifications.
Knowledge, Skills & Abilities Knowledge, Skills & Abilities: - Technical Knowledge :
- Knowledge of departmental procedures, terminology, organization, and common practices.
- Familiarity with applicable laws, regulations, rules, and Mohave County Personnel Policies and Department Regulations.
- Administrative & Office Skills:
- Proficient in modern office practices and use of equipment such as computers, copiers, fax machines, and calculators.
- Strong filing, indexing, and records management skills.
- Skilled in Microsoft Office, particularly Word (including mail merges) and Excel (basic spreadsheet functions).
- Communication & Interpersonal Skills:
- Excellent command of English grammar, spelling, punctuation, and arithmetic.
- Ability to communicate clearly, courteously, and professionally with the public, coworkers, and officials.
- Ability to establish and maintain effective working relationships.
- Demonstrates discretion, tact, and the ability to maintain confidentiality.
- Analytical & Organizational Abilities:
- Ability to prioritize, organize, and manage multiple assignments under pressure with frequent interruptions.
- Uses sound judgment to assess situations and respond appropriately.
- Capable of analyzing, interpreting, and applying technical, legal, and policy-related information.
- Ability to develop efficient work processes and complete tasks independently with accuracy.
- Supervisory & Leadership Skills (as assigned):
- Ability to train, supervise, and effectively communicate with subordinates.
- Can delegate tasks and monitor performance to ensure quality outcomes.
