    The City of Waco Seeks:

    The City of Waco is seeking a Customer Engagement Assistant to provide high-level administrative and operational support for our Customer Engagement Department. This role requires attention to detail, strong organization skills, and the ability to coordinate activities across multiple teams.

    Minimum Qualifications:

    Required:
    • H.S. Diploma or GED equivalent and 3 years’ experience in administrative, payroll, purchasing, or customer service support.

    Preferred:

    • Associate’s degree or coursework in Business Administration, Public Administration, or a related field
    • Experience supporting a public sector department, utility operation, or high-volume office


    Position Description:

    The Customer Engagement Assistant provides high-level administrative and operational support to the Customer Engagement Director and the broader Customer Engagement & Meter Services Department. This position plays a key role in ensuring the smooth execution of administrative functions, including payroll coordination, purchasing, invoice tracking, performance reporting assistance, and interdepartmental communication. In addition to supporting the Director, the Customer Engagement Assistant works closely with the Performance and Accountability Manager to assist in collecting and organizing data related to departmental key performance indicators (KPIs), customer service initiatives, and quality assurance reporting. This role requires attention to detail, discretion, strong organization skills, and the ability to coordinate activities across multiple teams.

    Essential Functions:

    • Provides direct administrative assistance to the Customer Engagement Director, including scheduling, correspondence, and meeting preparation.
    • Serves as a liaison between the Director’s office and internal staff, city departments, vendors, and the public.
    • Coordinates department-wide communications and tracks deliverables for special projects or initiatives.
    • Prepares and processes purchase orders, requisitions, vendor invoices, and other procurement documentation in accordance with City policies.
    • Tracks department expenses, ensures timely payment of invoices, and reconciles purchase records.
    • Maintains accurate records of contracts, quotes, and expenditures for audit and reporting purposes.
    • Assists with biweekly payroll processing by collecting, reviewing, and entering timekeeping data for all department staff.
    • Monitors leave balances, overtime, and time entry issues in coordination with Human Resources.
    • Serves as the department point of contact for payroll-related questions and corrections.
    • Assists the Performance and Accountability Manager with collecting, organizing, and formatting KPI data and performance reports.
    • Helps prepare dashboards, charts, and presentations used in performance review meetings and audits.
    • Tracks deliverables related to performance improvement plans, training follow-ups, and QA/QC documentation.
    • Maintains confidential records, reports, and administrative files in compliance with State, Federal, and City retention and regulatory requirements.
    • Assists in preparing documentation for audits, quality reviews, and compliance inspections.
    • Provides support for special initiatives such as training sessions, department events, vendor coordination, and community outreach.

    Governance and Organization

    Waco is a home rule city with a council-manager form of government. The City Council sets the tax rate, approves the budget, appoints members to City boards and commissions, enacts City ordinances, and appoints the City Manager, City Attorney, City Secretary, and the Municipal Court Judge.

    The City has a strong Financial Management Policy that guides the operation and delivery of quality City services, contributes to excellent AA+ and Aa1 bond ratings, and maintains an unassigned fund balance reserve in the General Fund equal to 28% of current year budgeted expenditures. The City of Waco has more than 1,600 employees and a total operating budget of over $400 million.

    The City provides a full range of municipal services including a regional airport, animal services, building inspections, code enforcement, convention and visitors bureau, emergency management, housing and community development, economic development, fire, public health, library, municipal court, parks and recreation, planning, police, public works, Texas Ranger Hall of Fame Museum, utilities and zoo operations.
