Leaders differ from managers in five distinct areas: Writing Style, Dress, Work Habits, Speech Patterns and Commitment.\u00a0 This article will focus on the \u2018Writing Styles\u2019 of organizational leaders.<\/p>\n<p>Early in my career I was fortunate to have observed many organizational leaders.\u00a0 I quickly learned great leaders share similar writing styles. They all followed five basic rules. I adopted their five rules and my career soared; first in the United States Air Force and later in Local Government? \u00a0Managers seldom apply these five rules when they write.<\/p>\n<p><strong>Rule One,<\/strong> <strong>Never; include \u2018<em>please<\/em>\u2019 in any business correspondence<\/strong>.\u00a0 Explain what you expect, then ask it be done.\u00a0 For example, never write the phrase \u201c<em>Please comply with this new policy<\/em>\u201d instead write, \u201c<em>I expect everyone to comply with this new policy<\/em>\u201d.<\/p>\n<p><strong>Rule Two,<\/strong> <strong>Write active, not passive.<\/strong> Managers write passive; they love to use \u2018ing\u2019 words. Leaders write active and seldom use \u2018ing\u2019 words. For example:\u00a0 A passive writer will say \u2026 <em>I am planning on implementing XXX.<\/em> \u00a0An active writer will say: <em>I plan to implement XXX<\/em>. \u00a0Great leaders write active all the time.<\/p>\n<p><strong>Rule Three<\/strong>, <strong>Avoid \u201cWhich\u2019s\u201d and \u201cThat\u2019s\u201d.<\/strong> \u2018Which\u2019 and \u2018That\u2019 serve no purpose in business correspondence; they take up valuable space. \u00a0For example: A government leader would never write \u201c<em>Our goal is to<\/em> <em>prevent increasing property taxes \u2013 \u2018which\u2019 or \u2018that\u2019 &#8211; will negatively impact our community.\u00a0 <\/em>\u00a0A leader would write: <em>Tax increases negatively impact our community; we will not increase taxes. \u00a0\u00a0<\/em><\/p>\n<p><strong>Rule Four<\/strong>, <strong>Write like Shakespeare \u2026 2-22-2.<\/strong>\u00a0 William Shakespeare, the most famous writer of all had a clever style. Ever fourth grade student can recite his soliloquy from Hamlet: \u2018<em>To be or not to be that is the question\u2019<\/em>. \u00a0Shakespeare had a simple style. First, he used as many two syllable words as possible. Rarely did he use three syllable words and never did he use a four syllable word.<\/p>\n<p>Second, he limited sentences to just 22 words.\u00a0 Finally, he used only two sentences per paragraph. His actual soliloquy is: \u201c<em>To be, or not to be, that is the question.\u00a0 Whether &#8217;tis nobler in the mind to suffer the slings and arrows of outrageous fortune, or take arms against a sea of troubles<\/em>.\u201d Shakespeare thoughts were short {2-22-2} so they could be understood.<\/p>\n<p><strong>Rule Five <\/strong>and \u2026 the most important rule: <strong>Telegram all business memos and letters to yourself before you send them out<\/strong>?\u00a0 What???\u00a0 Are you nuts Gabe?\u00a0 No, actually I am not.<\/p>\n<p>Years ago I was tasked to write a letter defending the use of a certain policy. I worked hard on this task and smiled as I handed the President a detailed 4 page letter. \u00a0\u201cLooks good\u201d he said \u2013 \u201cTelegram it to me\u201d. \u00a0\u201cTelegram it to you Sir?\u201d\u00a0 \u201cYes, Telegram it to me\u201d he replied.<\/p>\n<p>\u201cOut of which account do I take funds to pay for the telegram Sir?\u201d\u00a0 \u201cPay for it yourself\u201d he replied. \u00a0Sheepishly I said. \u201cSir, I don\u2019t know if I have enough money on me to pay for a telegram this long\u201d. He then turned \u2013 looked me in square in the eyes and said:\u00a0 \u201c<em>If you can\u2019t afford to telegram something you wrote, perhaps employees won\u2019t spend the time to read something that long.\u201d <\/em>POW! His words hit me right between the eyes. \u00a0I went back to my office and began to edit. Later I returned with a letter now barely three quarters of page long.\u00a0 He read my abbreviated letter, signed it and sent it out.\u00a0 Never again did any employee question our existing policy.
