    General Magistrate Assistant

    This position is responsible for administrative support to the Magistrate. The assistant is responsible for preparing and maintaining the Magistrate's court and professional calendar; reviewing submissions from parties, lawyers and Clerk primarily via email and the court's internal case management system viewer (JVS) for transmission to the Magistrate for further action; organizing, maintaining, and tracking work submitted to and from the Magistrate; reviewing relevant portions of electronic court files for compliance and completeness prior to submitting the case to the Magistrate for review; responding to emails, US Mail and phone calls; drafting proposed orders and/or reports and recommendations; case management; maintaining dockets, tracking and managing requests for continuances, tracking report and recommendations and/or orders; scheduling motions, hearings, conferences and trials. Interacting and establishing relationships with Magistrates, Judges, Clerk of Court staff, attorneys, law enforcement, social services, and the general public.

    Essential duties include working independently under general supervision according to procedures while developing work methods, composing/drafting and/or typing correspondence, court orders, pleadings, memoranda, reports, e-mails, and other documents observing strict confidentiality. May assist the Magistrate in special projects, including case management, research and typing; develops and maintains working relationship with Clerk of Court office to ensure efficient delivery of services. May provide temporary coverage for other Magistrate Assistants at other court annexes. Attend staff and other professional meetings.

    Minimum qualifications include a Bachelor's Degree and two years of experience working in business administration, paralegal, secretarial skills or a closely related field. Three years of professional administrative analytical related experience. Relevant experience and/or education may substitute for the recommended minimum qualifications on a year-for-year basis. Knowledge of the legal system, specifically dependency and family court divisions. Knowledge of the rules of English grammar, spelling, punctuation. Ability to work within deadlines to complete projects and assignments. Proficient in Microsoft Word, Outlook and Excel. Ability to prioritize work and communicate effectively verbally and in writing.
