Together our courts and probation departments are committed to impartial and timely dispute resolution; support for families, litigants, and victims; client rehabilitation; and meaningful community engagement.STATEMENT OF DUTIES Summary of Job Classification: Provides expert-level, multi-faceted support, which may include any or all the following. Audits and analyzes data regarding court operations and prepares management reports. Evaluates operations and recommends and implements changes in policies or procedures. Prepares and maintains manuals and training documents. Trains or oversees training of new and developing staff. Serves as liaison with local agencies and stakeholders.ADDITIONAL COMMENTS This Court Operations Analyst position will fill a 48-hour bond specialist position. Please note this is a part-time 20-hour a week position and some weekend work is required.A 48-hour bond specialist handles incoming emails from jails across the state to determine if the case qualifies, and schedules a bond hearing if it does. Communicates with jails daily and handles afternoon out-of-county bond hearings virtually in accordance with the 48-hour bond bill, while managing breakouts with attorneys and defendants. Prepares all paperwork and ensures division clerks have what they need for the afternoon hearings. Handles data entry, processes all paperwork, scans, and emails appropriate documents to the jails. Enters any protection orders issued.Saturday shift includes all duties above, as well as prepping weekend cases and putting them on the bench for the Judge.These duties are subject to change, and include all other duties as assigned.The proposed schedule would be Monday 8 am-5 pm, Tuesday 1 pm-5 pm, Wednesday 1 pm-5 pm and Saturday 12 pm-4 pm, unless Monday is a holiday, then it would be Sunday 11 am-3 pm.State Judicial employees have access to medical, dental and vision health care packages, optional life insurance, flex spending accounts, and health saving accounts. New employees earn a generous amount of paid time off and receive 11 paid holidays per year.ESSENTIAL FUNCTIONS Supports courtroom operations and programs. Orders supplies and forms, coordinates court functions, meetings, and events, and distributes deliveries. Assists with equipment and phones set up and maintains internal contact list.Practices continual process improvement strategies for court operation, programs, and functions.Assists with recruitment of new employees, including screening applications, scheduling interviews, and coordinating between applicants and supervisors throughout the hiring process.Facilitates new employee onboarding and orientation. Helps create accounts to applicable systems, hosts building tours, and updates distribution lists appropriately.Develops, deploys, and manages the internal SharePoint website. Manages the District website. Processes invoices for interpreters, contract personnel, and court appointed counsel. Assists with implementing process and procedure changes due to new or amended legislation. Trains staff appropriately.Conducts data integrity reviews, identifying errors and recommending corrections and potential improvements to increase effectiveness and efficiency. Attends monthly Data Integrity Report meetings.Liaises with external stakeholders, co-workers, Clerk of Court, District administrative team, and other district and state court administrative staff.Attends meetings and trainings as required.Performs other duties as assigned.ESSENTIAL FUNCTIONS CONT. Supervisor Responsibilities: Work requires providing guidance and the potential to oversee another employee. This position may oversee work quality, training, instructing and work assignments. The work performed by majority of employees is complex.Human Collaboration: Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas. Interactions have significant impact.Freedom to Act & Impact of Actions: Employee normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties. Performance reviewed periodically. Impact of actions is significant.Knowledge & Skills: Recognized authority in an area of expertise related to the work. Technical expertise is sought out by others across organization. Incumbent can apply technical skills in a wide and often unpredictable range of contexts. Likely impact on organization is standard.Fiscal Responsibility: May be responsible for the billing, collection and/or accounting of funds. May be responsible for the handling.MINIMUM QUALIFICATIONS Education and Experience Equivalency: High school diploma or G.E.D. Additional relevant work experience may be substituted on a year for year basis for the required formal education.Work Related Experience: Five (5) years of experience in a trial court, clerk office, or related administrative field.Licenses and Certifications: None.Physical Effort Requirements: Sedentary work - exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
