Office/Dispatch Administrator Location: Newark, NJJob Type: Full-TimePay Rate: 17.00/hourWork Authorization: United States (Required)About the Role We're looking for an organized and adaptable Office/Dispatch Administrator to join our team. This key role blends office administrative responsibilities with real-time dispatch coordination, ensuring smooth day-to-day operations in a fast-paced, 24/7 environment. If you're detail-oriented, a problem solver, and thrive under pressure, this position is for you.Key Responsibilities Dispatch Duties Coordinate and manage daily delivery routes for driversMaintain active communication with drivers throughout their shiftsAdjust routes quickly in response to traffic, weather, or customer changesCollaborate with management to meet evolving customer needsRespond to last-minute schedule changes with professionalism and flexibilityBuild and maintain strong relationships with drivers and customersOffice Administrative Duties Perform billing tasks, prepare and issue invoices, memos, and monthly statementsRespond to vendor inquiries and resolve payment issues in a timely mannerReconcile vendor statements and resolve discrepanciesKeep track of transactions and investigate differences between shipping logs and invoice recordsMaintain and update customer files, including accurate billing and contact informationProvide exceptional customer service via phone, email, and in-personAssist with general office operations including filing, data entry, and maintaining suppliesProvide administrative support to store management and staff as neededHandle incoming calls, direct inquiries, and relay information to appropriate team membersWhat You Bring High School Diploma or GEDValid driver's licensePrior experience in dispatching, administrative support, or billing preferredAbility to prioritize and multitask in a fast-paced environmentProficiency with Microsoft Office and basic accounting softwareStrong communication and problem-solving skillsAbility to work independently and as part of a collaborative teamAvailability to support a 24/7 operation (schedule flexibility required)Why Join Us Be part of a dynamic, essential operations teamWeekly payMedical, Dental & Vision benefitsPaid holidays & PTOOngoing training and career growth opportunitiesSupportive and safety-focused work environment
