Assistant Quartermaster
Albemarle County Police Department
Full Time, 12 Months
Non-Exempt, Paygrade 28

Job Summary/ Objective:

This is a full-time position within the Asset/Fiscal Management Unit of the Police Department. The purpose of this position is to support the department’s fiscal operations by ensuring the timely and accurate processing of financial transactions, vendor payments, and purchasing activities. Primary duties include performing complex clerical and technical work related to accounts payable, invoice processing, financial reconciliation, recordkeeping, and budget support. The position also serves as a key liaison with internal staff and external vendors to resolve discrepancies, maintain accurate financial records, and ensure compliance with County policies and procedures. This position requires general supervision and direction.

Essential Functions:

  • Invoice Processing: reviewing, verifying, and processing vendor invoices for accuracy and compliance with department policies.
  • Conducts audits and assessments on significant vendor activity.
  • Reconciling discrepancies between invoices, purchase orders, and receiving reports, which includes regular vendor communication.
  • Manages and reconcile purchases made through the Purchase Card program.
  • Responsible for payment of secured subscription services.
  • Recordkeeping to include maintaining accurate and organized records of all accounts payable transactions.
  • Provides support for budget preparation and required audits.
  • Performs related tasks as required



Competency: Knowledge/ Skills/Abilities:


  • Thorough knowledge of bookkeeping terminology and methods.
  • Thorough knowledge of standard office procedures, practices, and equipment.
  • General knowledge of routine accounting principles and practices.
  • Able to maintain complex financial records and prepare financial reports accurately.
  • Able to understand and follow complex oral and written instructions.
  • Able to establish and maintain effective working relationships with colleagues and the public.
  • Strong computer and organizational skills.


Required Education and Experience:

  • Any combination of education and experience equivalent to graduation from high school, supplemented by college level courses in bookkeeping and accounting.
  • Experience involving the maintenance of financial records.


Preferred Qualifications/Certifications:

  • An additional two years’ experience in accounts payable or inventory control.


Physical and Mental Requirements:

  • Regular contact with internal and external stakeholders via phone, in person, or through email
  • Work occurs predominantly in an office setting
  • Lifting up to 30 pounds may be necessary


Remote Work :

This position is eligible for a hybrid remote work schedule that is in compliance with the County’s Remote Work Policy and meets the operational and service needs for the position. All County staff must maintain residence within the Commonwealth of Virginia.

Salary Range :

This hiring range for this position is $24.30 - $26.86 per hours, which is approximately $50,539.05 - $55,858.95 per year. Starting offer is based on applicable education beyond minimum requirements and internal equity. The position also provides excellent benefits including 12 paid holidays, paid vacation and sick leave, health insurance options with employer contribution, employer-paid life insurance, VRS retirement, and continuing education/training opportunities. This is a full-time, FLSA non-exempt position. Internal candidates will receive pay adjustments in accordance with Local Government Personnel Policy, §P-60.
