Summary
Administrative Support For County Recorder's Office Performs a variety of administrative tasks by providing support to the County Recorder's Office. This position records and maintains real estate documents, marriage licenses, and provides excellent customer service to the general public. Passing of a drug screening required prior to appointment. Passing of a background check prior to appointment. Buchanan County is an EQUAL OPPORTUNITY EMPLOYER.Essential Duties and Responsibilities Accurately and consistently records, maintains, and retrieves records for the entire County and public. Sends out quarterly statements to the Missouri Department of Revenue. Searches DD214's. Proofreads and verifies documents after recordation. Assists with ordering and stocking of supplies. Searches land records, records military discharges, and certifies copies of documents. Sends monthly marriages to the state and emails vital records for locations of marriages. Checks and sorts mail for recording, and record any mail that is dispersed. Assists with opening and closing of daily drawers. Assists with the back filing and clean-up of documents. Assists with uploading documents for online searchers. Acts as a cashier when needed. Notarizes documents. Accurately files away nightly microfiche. Confers with County Assessor, GIS, and Zoning in regard to legal descriptions to accurate land.Other Duties and Responsibilities: Operate office equipment, including but not limited to: copy machine, computer, phone, scanner, and 10-key. Perform all other duties as assigned.Education/Experience High School diploma required. At least three years of increasingly responsible related experience; or Any equivalent combination of related education and experience.Required Knowledge, Skills and Abilities Ability to classify, compute, and tabulate data and information following a prescribed plan requiring the exercise of some judgement. Ability to compare, count, differentiate, measure, and sort information. Ability to assemble, copy, record, and transcribe data and information. Ability to interpret legal descriptions, both metes and bounds. Knowledge of state laws which govern the Buchanan County Recorder's Office. Ability to utilize a variety of advisory data and information, such as spreadsheets, statistical and narrative reports, assessment lists, information forms, indexes, code manuals, policies, procedures, guidelines, and non-routine correspondence. Ability to communicate orally and in writing with County and State Tax Commission personnel. Ability to add, subtract, multiply, divide, and calculate percentages, fractions, and decimals. Ability to use functional reasoning in performing semi-routine functions involving standardized work with some choice of action. Ability to exercise the judgement, decisiveness and creativity in situations involving a variety of pre-defined duties subject to frequent change. Ability to operate a variety of office equipment; including but not limited to computer, telephone, fax machine, calculator, and copy machine. Ability to recognize and identify degrees of similarities or differences between characteristics of forms associated with job-related objects, materials and tasks. Able to work independently and as part of a team. Proficient in Microsoft Office programs. Ability to perform a variety of tasks with a high degree of detail and accuracy.Special Requirements: Candidates must pass a criminal background check, meet all legal hiring requirements, and be able to obtain and maintain a surety bond.
