About the Role

Our patient demand is driven largely by paid advertising, and inbound leads now arrive faster than our founder can respond to while treating a full schedule of patients. Speed is everything here: the gap between calling a new lead in five minutes versus five hours is the gap between a booked evaluation and a lost patient.

This role exists to own the front of that funnel. You will be the first voice a prospective patient hears — reaching out quickly, understanding what they need, confirming they are a genuine fit for our care model, and booking them into a paid initial evaluation. You are not selling clinical plans of care; our founder handles that in person. Your job is to convert interest into qualified, booked evaluations and make sure no lead ever falls through the cracks.

As our first dedicated hire in this area, you will also help turn a working playbook into a repeatable, documented system.

Key Responsibilities

Lead Response & Outreach

  • Respond to inbound leads within minutes by phone, text, and email
  • Make consistent daily outbound calls to new and aged leads
  • Maintain a structured follow-up cadence so no lead goes cold

Qualifying & Consultative Conversations

  • Follow — and help refine — a consultative call script
  • Ask the right questions to confirm a lead is a genuine fit for our care model
  • Communicate the value of the initial evaluation in a warm, credible, non-pushy way
  • Screen out poor-fit inquiries so evaluation slots are used well

Appointment Setting & Schedule Management

  • Book qualified leads into paid initial evaluations
  • Send confirmations and reminders to minimize no-shows
  • Manage rescheduling and keep the calendar full and accurate

Pipeline & Reporting

  • Log every lead, conversation, and outcome accurately in the CRM
  • Run reactivation outreach to older, unconverted leads
  • Track and report on key metrics: speed-to-lead, contact rate, booking rate, show rate

Process & Systems

  • Help convert our founder's scripts and workflows into documented SOPs
  • Surface improvements to messaging, cadence, and conversion
Required Qualifications
  • 1+ years in appointment setting, inside sales, SDR, or patient intake — ideally in healthcare, wellness, med-spa, or dental
  • Near-native spoken and written English with a warm, professional phone presence
  • Proven comfort with high-volume outbound calling and handling objections
  • Availability to work full-time on U.S. Central Time
  • Sound judgment and discretion handling sensitive personal and health information
  • Reliable computer, high-speed internet, and a quiet, professional call environment
  • Typing speed of 40+ WPM with high accuracy
Preferred Qualifications
  • Direct experience in a chiropractic, physical therapy, or performance/wellness setting
  • Experience converting paid-advertising (e.g., Meta) inbound leads
  • Familiarity with Jane (JaneApp) or a similar practice-management, CRM, or scheduling tool
  • Experience building or documenting SOPs, or working closely with a founder or solo owner
  • Comfort in a metrics- or quota-oriented role
