Sourcing and Contracts Specialist

Are you looking for career opportunities within a global growing real estate company? Then you might be our next RFP bidding and contract administration professional. Join us and be a part of our journey.

Job Description

We are looking for an organized, analytical, and proactive professional to manage the lifecycle of service contracts across Akelius' portfolio and lead competitive sourcing activities for expiring and new service requirements. The role maintains the contract calendar, tracks renewal deadlines, and ensures contracts are reviewed and competitively bid before renewal whenever appropriate. This position helps reduce risk, prevent unmanaged contract renewals, identify savings opportunities, and strengthen vendor performance through disciplined sourcing and contract management practices. The role supports approximately 65 properties across 3 regions.

Key Responsibilities
  • Plan and manage competitive RFP and RFQ processes for expiring contracts and new service requirements
  • Prepare bid packages, scopes of work, and evaluation criteria with internal stakeholders
  • Solicite, organize, and manage vendor responses throughout the bidding process
  • Analyze proposals based on pricing, scope, service levels, risk, and overall value
  • Benchmark incumbent vendors against market pricing and identify documented savings opportunities
  • Develop award recommendations and support contract execution with selected vendors
  • Monitor renewal dates, and notice periods across all properties
  • Review contracts in advance so no contract renews without review
  • Maintain the central repository for contracts, pricing, scopes of work, and supporting documentation
  • Coordinate contract renewals, amendments, and terminations with legal, operations, and property teams
  • Administer contracts throughout their lifecycle, from execution through closeout or renewal
  • Partner with operations to define service requirements and specifications
  • Coordinate with the operations to align vendor, pricing, and spend information
  • Report on bidding activity, contract renewals, savings achieved, and upcoming contract actions
  • Support procurement standardization, policy compliance, and process improvements across the portfolio
Who You Are
  • 3+ years of experience in contract administration, sourcing, procurement, or RFP and bid management
  • Experience running competitive sourcing events and evaluating vendor proposals based on cost and value
  • Strong analytical skills with the ability to compare pricing, scopes, and contract terms across vendors
  • Highly organized and able to manage multiple contracts, deadlines, and renewal schedules simultaneously
  • Strong written and verbal communication skills for bid documentation, analysis, and recommendations
  • Experience with real estate, facilities, or property management service contracts is preferred
  • Familiarity with contract management, procurement, or e-sourcing platforms is preferred
Measures of Success
  • Every expiring contract is identified, reviewed, and evaluated before renewal, with no unmanaged auto-renewals
  • Competitive bidding activities are completed on schedule and according to procurement standards
  • Savings opportunities are documented and captured through bidding, benchmarking, and contract negotiations
  • A complete, accurate, and current contract calendar and repository is maintained across all properties
  • Can manage contract administration, has good analytical skills, bidding experience, and collaboration with operations, property management, vendors, and procurement stakeholders.
