    Description

    This classification is used in various City departments . Vacancy is in the Department of Families, Children, and Youth. Under general supervision, provides responsible administrative assistance by assisting in the coordination and performance of the complex administrative activities of the department or by supervising subordinate staff in conducting projects or programs operated through the department. Supervises and administers projects and programs operated by the department. Assists in establishing procedures for the administrative control of department activities. Reviews departmental policies and work procedures and makes recommendations for their improvements. Performs administrative studies in the area of departmental policies, programs and operating procedures. Supervises and administers departmental personnel activities. Assists in the development and monitoring of departmental budgets. Coordinates activities between departmental divisions. Prepares reports on various areas of work responsibilities.

    This is a HMEA union position. The hours of work are 40 per week and the above salary includes 5% in lieu of overtime.

    Knowledge, Skills & Abilities

    The examination will consist of a rating of your training and experience as contained on your application and may include a written test, an oral test, a performance test or a combination thereof. All parts of the examination, including tests and ratings, will be related to the requirements of the position. The examination will be designed to measure:

    Thorough Knowledge of:
    • Principles and practices of public administration as it relates to local government operations within the departmental function concerned.
    • Functions and technical procedures of the departmental programs or functions involved.
    • Microsoft Office applications such as Word, Excel and PowerPoint.
    • Basic principles of financial and budgetary management.
    • Practices and procedures of office management.
    • Research methods and techniques.

    Ability to:
    • Plan, assign, and supervise the work of subordinate staff.
    • Establish and maintain effective working relationships with other employees and the public.
    • Express oneself clearly and concisely orally and in writing.
    • Maintain various records related to departmental work.
    Physical Demands and Working Conditions : Work is performed primarily in an office environment with some travel to different sites. Incumbent may be required to work a flexible schedule, including evenings and weekends.

    Qualifications

    Open to all qualified applicants who meet the following qualifications:

    Graduation from a four-year accredited college or university with a major in business or a closely related field AND two (2) years of progressively responsible experience in a business organization or the public service, one (1) year of which must have involved responsible administrative and lead experience in the departmental programs or functions involved.

    Full-time administrative experience in the required area may be substituted for the above educational requirement on the basis of the following: one year of administrative experience is equal to one year of college.

    A COPY OF YOUR DEGREE OR TRANSCRIPT MUST BE SUBMITTED WITH YOUR APPLICATION. A DEGREE OR TRANSCRIPT SUBMITTED WILL BE VERIFIED BY THE HUMAN RESOURCES DEPARTMENT.

    If selected, you will be required to pass a physical examination administered by a City physician, a drug and alcohol screening examination, and a background check. If appointed, you will serve 3-12 months of probation. This examination and employment process is subject to all federal, state, and municipal laws, rules and regulations.
