    Lead Administrative Support Assistant/Consumer Information Coordinator

    Division of Developmental Disabilities

    Hannibal Satellite Office

    Salary: $38,887.34 Annually

    Location: This position is domiciled at Hannibal Satellite Regional Office (805 Clinic Road, Hannibal, MO 63401)

    Role Description:

    This position is responsible for greeting/assisting visitors, answering phones, supporting the Assistant Director, and managing tasks related to consumer files.

    Job Responsibilities:

    • Manage and organize consumer files, both electronic and physical (file room)
    • Oversee and facilitate incoming and outgoing file transfers, discharges, and intakes
    • Update consumer demographics and episodes of care (EOC) in the Customer Information management, outcomes, and reporting (CIMOR) system
    • Scan files for records requests in accordance with Division policy and procedures
    • Support the Assistant Director (AD) with scheduling and managing calendar meetings
    • Prepare and communicate correspondence on behalf of the AD
    • Privacy Officer/HIPAA compliance contact/resource
    • Distribute and provide support with incoming/outgoing mail (standard and certified)
    • Manage the regional office’s state car fleet-schedule repairs, submit monthly logging reports, etc.
    • Greet and assist visitors
    • Maintain a general knowledge of DMH services
    • Answer phones and transfer to the appropriate department/staff
    • Liaison between DMH and contracted providers
    • Communicate and collaborate with statewide team members and attend monthly meetings for brainstorming and records updates
    • Any other tasks/special projects assigned by the AD and as needed by the Regional Office


    Qualifications:

    1-2 years of relevant administrative support experience.

    Knowledge:

    Knowledge of general office practices and proficient in Microsoft programs including Outlook, Word, and Excel. Ability to maintain clerical records, operate basic office equipment, and interact on the telephone or in person with the public. Applicants must be well organized, able to successfully manage work priorities, meet timelines, work on multiple projects and must possess proficient writing and professional communication skills.
