    Pay Range

    We offer a competitive hourly rate of $18.25 to $24.57 per hour.

    • For external candidates, the offer will be based on skills and experience.
    • For internal candidates, the rate will be determined in accordance with the City's compensation structure and internal equity guidelines.

    What You’ll Do
    • Provide financial support through purchasing card transactions and processing invoices/requisitions for services and goods.
    • Serve as the first point of contact for internal and external customers, providing professional and timely service in person, by phone, and via email.
    • Coordinate schedules, meetings, training sessions, and events-including booking locations, arranging supplies, and handling logistical details.
    • Perform a variety of administrative tasks, including managing records, preparing correspondence, and resolving non-routine situations using established procedures.
    • Use spreadsheets and data management tools to organize information, prepare reports, and support decision-making.
    • Manage office resources by ordering supplies, reconciling purchasing card transactions, and processing invoices for services and goods.
    • Provide guidance and training to other employees as needed.

    The Administrative Support position performs a variety of work tasks centered around providing complex administrative support for various work teams and business operations.

    Key Responsibilities
    • Provides customer service to both internal and external customers on a variety of topics and services, which may require serving as a first point of contact for in person, phone, and email service requests.
    • Assists with scheduling for other members of the team; schedules locations and rooms for various activities; coordinates details for food, supplies, and other needs for meetings, training, and events.
    • Performs several administrative functions; maintains and files records; prepares routine correspondence; resolves non-routine situations based on knowledge and interpretation of established procedures; provides training for other employees.
    • Uses spreadsheets and other data management tools to organize information; provides reports to others; compiles and maintains data and reports.
    • Orders and ensures availability of standard supplies and resources; may act as Purchasing Card contact reconciling purchases; processes routine and non-routine invoices for a variety of services and goods.


    Qualifications

    Experience: Two years of administrative support or other relevant experience is required. Additional education can substitute for experience.

    Education: A high school diploma or equivalent is required.

    Licenses & Certifications: None required. Depending on assignment may require a valid driver's license and favorable driving record.

    Language: Proficiency with verbal and written English language required. Additional proficiency with Spanish and American Sign Language preferred.
