DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS The Houston Public Library (HPL) is seeking an Administrative Coordinator in the SPACES Division. The selected candidate should be customer friendly, perform accurate and detailed work and the ability to work with executives, HPL partners and stakeholders, and all levels of staff. Must be able to work collaboratively with frontline Library staff to achieve goals.
RESPONSIBILITIUES: - Works with General Services Department to analyze and appraise effectiveness of property and security management with library facilities. Make recommendations for changes of activities and programs.
- Maintains furniture, fixtures, and equipment inventory and makes recommendations for repair, replacement, and maintenance.
- Coordinates the division budget and research, analyzes, and reviews new vendors for furniture, fixtures, and equipment at HPL locations. Completes cost benefit analysis as needed.
- Plans, initiates, and implements administrative tasks for records management, property management, Security and SPACES related graphics.
- Coordinates HPL’s Civic Art inventory management and program.
- Schedules and manages Central Library Art Gallery as well as temporary art installations.
- Serves as liaison with the Mayor’s Office of Special Events for downtown events and notifies affected staff.
- Collects data on incident reports, maintenance records and facility inventory to create reports and presentations.
- Serves on committees as assigned by department director and division head.
WORKING CONDITIONS This position is physically comfortable. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.
MINIMUM REQUIREMENTS MINIMUM EDUCATIONAL REQUIREMENTS Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.
MINIMUM EXPERIENCE REQUIREMENTS Five (5) years of administrative experience are required.
Professional administrative experience may be substituted for the education requirement above, on a year-for-year basis.
MINIMUM LICENSE REQUIREMENTS A valid driver license and compliance with the City of Houston's policy on driving (AP 2-2).

- Experience working in government, non-profits, or libraries
- Project management skills
- Analytical skills and experience with process improvement
- Experience with passport processes
- Knowledge and skill with statistics
