About the OpportunityThe City of Ventura is seeking an experienced and motivated Executive Assistant to join our Fire Department. This key position provides high-level administrative and confidential support to executive leadership, ensuring the efficient coordination of departmental operations and communications.
We’re looking for a proactive, highly professional, and adaptable individual who thrives in a dynamic, fast-paced environment. The ideal candidate will serve as a trusted representative of the Fire Chief’s Office, demonstrating confidence, discretion, and diplomacy when interacting with staff, City leadership, and the public.
Key responsibilities include:
- Managing daily administrative operations, including scheduling, correspondence, and document preparation.
- Serving as a primary point of contact for internal and external stakeholders, representing the Fire Chief’s Office with professionalism and diplomacy.
- Supporting department initiatives and projects that enhance efficiency and service delivery.
- Coordinate electronic handling and submission of department personnel performance evaluations.
- Coordinate training and conference-related travel details for Fire Management.
- Act as custodian of records for the department including response to public records requests from City Clerk.
The Ideal Candidate - Preferred QualificationsThe ideal candidate will:
- Possess strong technical and administrative skills, including experience navigating systems such as Workday, purchasing, and records management platforms.
- Exhibit flexibility, adaptability, and sound problem-solving skills in support of a 24/7, shift-based public safety agency.
- Demonstrate discretion, professionalism, and integrity when handling sensitive or confidential information.
- Represent the Fire Chief’s Office with professionalism, acting as a trusted liaison and key support to the department’s leadership team.
Minimum Qualifications - RequiredA combination of education, training, and experience equivalent to the completion of high school, keyboarding abilities sufficient to perform the job, and four years of increasingly responsible advanced clerical or secretarial/administrative support experience are required.
Licenses: Depending on assignment, possession of a valid California Class C driver license may be required.

Selection Process Timeline:- Examination Process (Online Assessment): The selection process may consist of one or more online assessment examination components: data entry, customer service interaction, proofreading, keyboarding, MS Office skills assessment, and a qualifying panel interview process.

As a condition of employment, selected candidates may be required to undergo the successful completion of a Live Scan fingerprinting and a Police Records check. (A felony or misdemeanor conviction may disqualify the candidate from City employment.This is an
at-will position, serving at the pleasure of the Department Head, and subject to discharge without cause or right of appeal. It is also designated as confidential under the City’s Employer-Employee Relations Resolution. The Executive Assistant reports directly to a Department Head or the City Manager’s Office and performs complex, sensitive administrative duties, including coordinating departmental office functions and providing lead direction to support staff.
