    DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

    HHD seeks an Administrative Coordinator to serve as inventory management personnel in the Bureau of HIV/STI and Viral Hepatitis Prevention. This position will report to the Administration Manager. The successful applicant will implement inventory control procedures around IT computer equipment and collaborate with HHD IT to ensure inventory discrepancies are fixed timely.

    Job duties and responsibilities may include, but are not limited to, the following:

    • Maintain and update computer equipment inventory records using the department’s approved tracking systems, ensuring accuracy and completeness.
    • Assist with scheduling and conducting regular inventory reviews and audits of computer equipment and documenting findings.
    • Monitor inventory levels and coordinate with HHD IT to ensure equipment is ordered, received, and recorded appropriately.
    • Serve as a liaison between the bureau, HHD IT, and other department areas to communicate inventory needs and updates.
    • Support the development and maintenance of inventory control procedures and ensure that surplus or salvage equipment is processed according to departmental and grantor guidelines.
    • Prepare routine inventory reports, summaries, and documentation for leadership review and grant compliance.
    • Research and follow up on discrepancies identified during inventory checks and work collaboratively with IT and staff to resolve issues.
    • Stay informed on departmental guidance, grantor requirements, and applicable federal or DSHS rules related to computer equipment inventory.
    • Coordinate with bureau leadership to compile information required for the DSHS GC-11 report, including equipment status updates (active, inactive, or salvaged).
    • Track newly purchased equipment and assist with coordinating deployment timelines with HHD IT to ensure staff receive equipment promptly.

    WORKING CONDITIONS
    The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

    MINIMUM REQUIREMENTS

    EDUCATIONAL REQUIREMENTS
    Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.

    EXPERIENCE REQUIREMENTS
    Five years of administrative experience are required. Professional administrative experience may be substituted for the above requirement on a year-for-year basis.
    LICENSE REQUIREMENTS
    None.

    PREFERENCES

    **Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.**

    •Proven experience in inventory management, preferably in a computer or IT environment.
    •Proficiency with inventory management software and advanced skills in spreadsheet programs like Microsoft Excel and other software programs that may be relevant to the position.
    •Strong analytical, problem-solving, and organizational skills.
    •Excellent attention to detail and communication skills.
    •Ability to forecast and analyze data effectively.
    •Ability to work independently and as part of a team.

    GENERAL INFORMATION

    SALARY INFORMATION GRANT FUND POSITION
    Grants & Special fund positions are dependent upon continued available funds. If funding is no longer available, employee may be laid off or transferred. Factors used in determining the salary offered include the candidate's qualifications as well as the pay rates of other employees in this classification.
