    Student Services Professional II - Exempt

    RESPONSIBILITIES & DUTIES:

    Undergraduate Admissions & Enrollment Support
    • Serve as a primary point of contact for undergraduate prospective students, applicants, and newly admitted students, providing timely, accurate, and student-centered guidance via email, phone, virtual, and in-person interactions.
    • Advise prospective students on undergraduate academic program options, admission requirements, application processes, deadlines, and next steps toward enrollment.
    • Review undergraduate admission applications and supporting documents for completeness and accuracy, including transcripts and other required materials, and track application progress through established systems.
    • Assist with verification of academic records, including evaluation of transfer coursework and calculation or confirmation of eligibility indicators as appropriate.
    • Evaluate transcripts, requirements for program admissions, and post transfer credits
    • Assist in setting up and maintaining Cal State Apply application and WebAdmit communications.
    • Communicate admission decisions, next steps, and enrollment requirements to applicants, ensuring clarity and a positive student experience.
    • Maintain current knowledge of CSU, campus, and program-specific admission and degree requirements and policies in order to accurately advise students.

    Student Success & Proactive Outreach
    • Foster student persistence and enrollment by maintaining consistent communication with applicants and newly admitted students, including proactive outreach, check-ins, and follow-up reminders.
    • Identify common barriers to enrollment and connect students with appropriate campus resources such as advising, financial aid, records, and student support services.
    • Collaborate with academic programs and student success staff to support onboarding, orientation, and early-term success initiatives.
    • Provide basic academic advising and guidance within scope, and refer students to faculty or professional advisors for more complex academic planning needs.

    Recruitment & Outreach Activities
    • Participate in recruitment and outreach activities such as information sessions, open houses, campus events, virtual workshops, and tabling events.
    • Represent the university and its undergraduate programs in a professional and student-centered manner to prospective students, families, and community partners.
    • Assist with the development and delivery of presentations and informational materials related to undergraduate admissions and programs.

    Technology, Data, & Reporting
    • Utilize and maintain accurate records in student information and customer relationship management systems, including but not limited to Oracle (PeopleSoft), Airtable, Assist.org, TES, WebAdmit (Cal State Apply) and other campus-approved technologies.
    • Track and document student interactions, application milestones, and enrollment outcomes to support data-informed decision making.
    • Generate recurring reports related to inquiries, applications, admissions, and enrollment to support continuous improvement of admissions and student success processes.
    • Contribute to testing, process improvement, and documentation related to admissions and enrollment workflows.

    Collaboration & Communication
    • Work collaboratively with Admissions and Records, academic programs, advising, recruitment, and student success units to ensure seamless service to students.
    • Communicate professionally and effectively with faculty, staff, administrators, and external partners.
    • Serve as a knowledgeable resource regarding undergraduate admissions policies and procedures for students and campus partners.

    Other Duties as Assigned
    • Perform special projects and additional responsibilities as assigned in support of admissions, academic programs, and student success priorities.

    REQUIRED QUALIFICATIONS:

    Minimum Qualifications
    • Equivalent to graduation from a four-year college or university in behavioral sciences, public or business administration, education, or a job-related field.
    • Possession of the required knowledge and abilities typically demonstrated through at least two (2) years of professional experience in student services, admissions, recruitment, advising, records, or a closely related area.
    • A master’s degree in a job-related field may be substituted for one year of the required professional experience.

    Knowledge, Skills, & Abilities
    • Working knowledge of student admissions, recruitment, and enrollment processes.
    • Ability to interpret and apply university, CSU, and program policies and procedures.
    • Strong written and oral communication skills, including the ability to explain complex processes clearly and tactfully to diverse populations.
    • Demonstrated commitment to providing excellent customer service in a student-facing environment.
    • Ability to work independently, manage multiple priorities, meet deadlines, and exercise sound judgment.
    • Ability to establish and maintain effective working relationships with students, faculty, staff, and external partners.
    • Ability to collect, analyze, and report data related to admissions and enrollment activities.
    • Sensitivity to and ability to work effectively with individuals from diverse cultural, social, and educational backgrounds.

    Preferred Qualifications
    • Experience in undergraduate admissions, records, recruitment, or academic advising.
    • Experience evaluating admission applications and academic records.
    • Familiarity with CSU policies, Title 5 regulations, and admissions practices.
    • Experience using student information systems and related technologies such as PeopleSoft, Airtable, Microsoft Office/365, CRM systems, or similar platforms.

    A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

    The person holding this position is considered a ‘Campus Security Authority (CSA)’ to report crimes for the federally mandated Clery Act and is required to comply with the requirements set forth in CSU Executive Order 1107 revised March 24, 2017 as a condition of employment.

    The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

    This position may be "Designated" under California State University's Conflict of Interest Code. This would require the filing of a Statement of Economic Interest on an annual basis and the completion of training within 6 months of assuming office and every 2 years thereafter.

    Hiring Salary:$5,083 per month
