Definition and Class Characteristics INTERVIEWS FOR SELECTED CANDIDATES WILL BE HELD ON JUNE 22, 2026 The Nevada County Sheriff's Office is looking for an Administrative Services Assistant to join our Professional Standards Unit and help support the employees who serve our community. This position is responsible for coordinating a wide range of personnel and administrative functions, including recruitment, hiring, employee records management, leave administration, workers' compensation coordination, and other human resources-related activities. The successful candidate will be a highly organized proactive problem solver who can handle multiple priorities while maintaining confidentiality and providing outstanding customer service.
Examples of Duties Essential:
- Plans, organizes, coordinates, and participates in administrative and personnel management activities within a county department or division
- Coordinates recruitment activities including preparing requisitions, assisting with job postings, screening applications, coordinating interviews, and facilitating onboarding and offboarding processes
- Processes and monitors personnel actions including appointments, promotions, transfers, salary changes, leave status changes, and separations
- Maintains and administers confidential personnel, medical, training, and related employee records in accordance with legal requirements and records retention schedules
- Serves as a liaison between department staff and County Human Resources, Risk Management, Payroll, and other agencies regarding personnel matters
- Coordinates employee leave administration and assists employees and supervisors with leave processes and requirements
- Processes and monitors employee injury reports, workers' compensation claims, workplace accidents, and return-to-work activities
- Provides guidance and support regarding personnel policies, procedures, and employee-related matters while maintaining confidentiality
- Coordinates testing, background investigation support activities, and other employment-related processes
- Develops, implements, and monitors systems and procedures to address departmental administrative and personnel needs
- Maintains liaison with County departments, officials, outside agencies, vendors, and service providers
- Attends meetings and conferences related to administrative services and personnel administration
- Directs and performs the preparation of correspondence, reports, forms, records, and other documentation
- Coordinates special projects and performs related administrative duties as assigned
Knowledge of:
- County and departmental operations, policies, procedures and processes
- Laws, codes and requirements governing operations of department to which assigned
- Principles and practices of organization and administration, budget preparation and fiscal record keeping, supervision and training, and personnel administration including recruitment and testing
- Standard office methods, forms, and equipment
Skill in:
- Understanding and applying laws, regulations, policies and requirements
- Planning, organizing and supervising administrative activities related to budget/fiscal matters, personnel, purchasing and office management
- Assigning, directing and reviewing the work of others
- Preparing and maintaining accurate budgetary and fiscal information
- Initiating and completing work assignments with a minimum of direction, exercising sound independent judgment within policy guidelines
- Recognizing administrative problems and implementing effective solutions
- Operating computer hardware and software applications
- Preparing and maintaining accurate records, reports and program documentation
- Establishing and maintaining effective working relationships with those contacted in the course of work
Physical Demands and Working ConditionsMobility and manual dexterity to work in a standard office environment, use standard office equipment and attend off-site meetings; vision to read handwritten and printed materials and a computer screen; hearing and speech to communicate in person and by telephone. This class is the first level in the Administrative Services series. Incumbents assigned to this classification may perform a wide range of administrative management functions with a significant emphasis on personnel administration and human resources support. Responsibilities may include recruitment and selection activities, employee onboarding and offboarding, personnel records administration, leave and workers' compensation coordination, personnel action processing, employee relations support, records management, and other departmental administrative functions. Incumbents exercise independent judgment while ensuring compliance with County policies, labor laws, departmental procedures, and applicable regulations.

Education and Experience RequiredBachelor's degree from an accredited college or university, with major course work in business or public administration, economics, accounting, human resources, or a related field and one year of responsible administrative experience. Additional qualifying experience may be substituted for the required education on a year for year basis to a maximum of two years.
