The Mail Services Coordinator provides centralized mail services for the City, ensuring the timely and accurate collection, distribution, and processing of incoming and outgoing mail and packages. This position manages postal accounts, coordinates express deliveries, and maintains delivery equipment to support efficient operations.
ESSENTIAL FUNCTIONSThe following list highlights the main responsibilities of this position. While it covers the core tasks, it may not include every duty that could be assigned. Employees may be asked to take on other responsibilities as needed to support the team and department.
- Collect and deliver incoming and outgoing mail between City departments and the post office.
- Receive, scan, and distribute packages from carriers such as FedEx, UPS, and DHL.
- Log and track certified, insured, and express mail items.
- Monitor and maintain postage due and Business Reply Mail accounts; process payments as needed.
- Stay informed of postal rules, regulations, and rate changes.
- Coordinate daily pickup of express packages with carriers.
- Prepare and submit monthly postage usage reports to Finance.
- Inspect, refuel, and maintain the assigned delivery vehicle.
MINIMUM REQUIREMENTS & PREFERRED QUALIFICATIONS MINIMUM REQUIREMENTS - High School Diploma or equivalent.
- Two (2) years of experience in mailroom operations or related services.
- Valid driver’s license and clean record required; Texas driver’s license within 3 months if out-of-state.
PREFERRED QUALIFICATIONS - Five (5) plus years of mailroom experience.
- Familiarity with postal regulations and mail tracking systems.
COMPETENCIES AND ENVIRONMENT KNOWLEDGE, SKILLS, AND ABILITIES - Ability to read and comprehend purchasing policies and procedures for all procurement types.
- Effective verbal and written communication skills.
- Ability to maintain positive working relationships with City departments, vendors, suppliers, contractors, and the public.
PHYSICAL DEMANDS Physical requirements include lifting up to 50 pounds occasionally. Subject to constant vision; standing, walking, lifting, carrying, pushing/pulling, reaching, handling, hearing, and talking frequently; sitting, fine dexterity, kneeling, bending, twisting, climbing, balancing, and foot controls occasionally; crouching rarely.
WORK ENVIRONMENT Work involves occasional exposure to variable and/or extreme weather conditions and general driving hazards.
