We are looking for an ambitious, steady and loyal individual to join our Paper Retriever of Texas team in San Antonio TX as the Office Administrator/Dispatcher. You will learn many standard business practices and be exposed to the full cycle of business relations. From communicating with customers to scheduling routes for our drivers and outbound trucks going to end users, this experience with a family owned and operated company is truly one of a kind.
Responsibilities
- Answer Inbound Calls
- Schedule and Dispatch Call-Ins
- Communicate Frequency and Customer Requests
- Print, schedule and complete routes in our system
- Review Driver's paperwork, communicate on DVIR, mediate route issues or customer problems
- Organize and Schedule CD Truck activity
- Coordinate Outbound Shipping schedule
- Work with General Manager to continually improve Routing/Routes/Frequency of pickups
- Collaborate with the team on Collection Calls on Accounts over 30 Days
- Assist with weekly inventory of materials
- Complete New Customer Setup for new customers being added into our system(s)
- Manage all outbound and inbound loads
- Manage, schedule and enter all Brokerage transactions
- Capture, confirm and enter employee times for payroll
- Review Route Audit reports on all PRT routes daily
- Gather and distribute Plant Production reports
- Manage visitor and outside contractor check in and out; work performed
- Accurately entering materials and weights into the scale system computer, observing loads entering the facility and recording load grades as needed, calculating payments and enforcing safety rules and PPE requirements with the customer.
- Maintain VCR/Vehicle files

- Strong customer service skills are required
- Ability to multi-task
- Strong computer skills
- Must be a self-starter
- Strong level of accountability
- Essential to be detailed oriented
- Upbeat and energized to complete tasks with a positive attitude
- Must work well under pressure
- Essential to learn and practice all safety procedures as safety is our highest value.
- Bilingual a plus
