Job TitleThis position is responsible for scheduling, directing, and communicating with drivers to ensure on-time service delivery and providing service excellence to all customers, vendors, clients, and employees that require transportation services/assistance at all times.Essential Job FunctionsRespond to all communication apparatuses related to OperationsMaintain various logs related to OperationsEfficiently schedule/reschedule drivers and equipment to ensure proper service deliveryMonitor all drivers and/or movements to ensure timelinessEnsure driver familiarity with movements for proper executionCreate, maintain, and distribute any and all paperwork or tools required for driversAccurately record trip information for accounting purposesMaintain professional working relationship with all employees and customers both internal and externalKeep management informed of incidents that arise pertaining to the OperationPerforms other related duties as assigned or requested by managementWorking Conditions/Physical DemandsAir Conditioned officeDesk and chairGeneral office equipment and suppliesLight work- exerting up to 20 pounds of force on occasionally, involves sitting most of the timeUsing fingers frequently for typingTalking- must be able to convey detailed or important spoken instructions to other workers accuratelyHearing-being able to receive detailed information through oral communicationWorker not substantially exposed to adverse environmental conditions (such as in a typical or administrative work)Work is required to have visual acuity to operate motor vehicles when necessary and have close visual acuity to perform an activity such as viewing a computer terminal and preparing schedules and inputting data onto computersThe dispatch office is located on the second floor of the building with a flight of stairs leading to itPotentially high stress and fast paced environmentSupervisionThis position requires supervising of other employees such as drivers to enforce company policies regarding safety, service, and conduct n accordance with company handbook.Essential Skills (Minimum qualifications individual must possess when entering position)High school diploma or equivalentBasic knowledge of Oahu roadways and venuesMinimum one year experience in tourism/transportation fieldAbility to read maps and effectively give directionsAbility to multi taskAbility to work in a fast-paced environmentStrong verbal and written communication skills and command of the English languageBasic office skills: basic knowledge of Word, Excel, Outlook, 10-key, internet, and telephone skillsCustomer Service – Handles customer questions and complaints, communicates with customers, handles service problems politely and efficiently, follows procedure to solve customer problems, understands company products and services, maintains pleasant and professional imageDecision Making / Judgment – Recognizes problems and responds, seeks input from others, makes timely decisions, can make difficult decisions in the face of adversity, and communicates decisions to others.Dependability – Meets commitments, works independently, accepts accountability, handles change, stays focused under pressure, and meets attendance/punctuality requirements.Job Knowledge – Understands duties and responsibilities, has necessary job knowledge, has necessary technical skills, understands company mission/values, keeps job knowledge current, and is in command of critical issues.Personal Organization – Keeps information organized and accessible, maintains clean/functional work space, works systematically/efficiently, and manages time well.Problem Solving/Analysis – Breaks problems down into smaller components, understands underlying issues, and can simplify and process complex issues, understands the difference between critical details and unimportant facts.Sense of Urgency – Prioritizes well, shows energy, reacts to opportunities, instills urgency in others, and meets deadlines.Teamwork – Meets all team deadlines and responsibilities, listens to others and values opinions, helps team leader to meet goals, welcomes newcomers and promotes a team atmosphere.The above information on this description has been designed to indicate the general nature and level of work performed by an employee in this classification.
