Summary

Graduate Program Specialist

The University of North Georgia is currently accepting applications for a Graduate Program Specialist on the Dahlonega campus. This position is to provide administrative management of graduate programs.

Supports administrative, clinical, and admissionsoperations for the graduate programs. Key responsibilities includes; initiating, maintaining, and coordinating Memoranda of Understanding (MOU) contracts with clinical sites in collaboration with the UNG attorney and paralegal for the graduate programs. Facilitating and assisting with clinical placement arrangements for students enrolled in the MSN program. Maintaining and updating graduate nursing admissions spreadsheets to accurately track applicants, admissions decisions, deferments, and withdrawals. Monitoring admissions data to ensure accurate reporting and record-keeping. Scheduling and coordinating student orientations. Collects clinical documents and ensures documents are up-to-date throughout the program. Maintains student files and registers students for courses as needed. Manages graduate student communications and serves as the first point of contact for graduate program emails and telephone calls. Record, prepare, and distribute official minutes for committees as assigned. Works closely with Graduate Programs Coordinators. Coordinates and monitors all aspects of the credentialing processes for graduate programs through using the online tracking databases. Monitors daily for expiring clinical requirements and submitted site requests/documents. If a request for a new site is submitted, forward the request to the program coordinator for approval prior to initiating an MOU. Informs course coordinator if a clinical requirement has expired and the student has not responded to requests for updated requirements. Creates, distributes, and maintains graduate program course surveys and end of course evaluations. Perform other job-related duties as assigned to support operational continuity of the Department of Nursing. Identify and document newly qualified preceptors participating in the Preceptor Tax Incentive Program (PTIP). Accurately tracking and recording precepted student clinical hours accumulated each semester. Maintain organized and compliant records of preceptor participation and student placements. Ensure accuracy and completeness of all required PTIP documentation. Meet strict, time-sensitive reporting deadlines. Submit required semester reports each semester. Knowledge, Skills, and Abilities Office management as well as secretarial knowledge. Office equipment and computer software programs. Ability to complete tasks with frequent interruptions. Ability to maintain confidentiality of student and departmental records of a sensitive nature. Ability to work with visitors, students, and faculty in a professional and courteous manner. Ability to enter, organize, and retrieve, information from databases as needed.

High school diploma required. Three years of clerical or administrative experience, or equivalent combination of education and experience
