BART’s Rolling Stock & Shop (RS&S) is seeking a Scheduling Supervisor to lead the development of short and long-range maintenance schedules for both revenue and non-revenue equipment. The selected candidate will ensure that all maintenance work is properly sequenced and resourced, and aligned with departmental goals through effective planning, forecasting, and communication. The role utilizes computerized maintenance management systems and scheduling tools to optimize workflow and maintain accurate maintenance records.

This Scheduling Supervisor manages the District's maintenance scheduling program by producing and maintaining long-range shop schedules that reflect operational constraints and strategic objectives. This position requires strong analytical abilities, proficiency with computerized maintenance management and scheduling systems, and effective collaboration across multiple operational units to optimize workflow and maintain accurate maintenance records.

The most qualified candidate for this position will have highly developed competencies in the following areas, which will be reinforced with related work experience and will be clearly articulated during the selection process:

• Highly proficient in Computerized Maintenance Management Systems (CMMS) and scheduling software, leveraging advanced technical skills to streamline workflows, optimize resource allocation, and maintain accurate, compliant maintenance documentation.

• Strong Microsoft Excel capabilities, transforming complex datasets into clear, actionable insights using formulas, PivotTables, and data analysis tools.

• Thrives in fast-paced environments, consistently delivering precise, timely results while effectively managing shifting priorities and operational demands.

Examples of Duties

Supervises, assigns, reviews, and evaluates the work of Shop Schedulers to ensure the timely execution of planned work and adherence to established scheduling practices.

Translates the Maintenance Plan into executable weekly and daily schedules across multiple facilities, optimizing labor, parts, and asset availability.

Oversees the integration of the Job Plans, Maintenance Directives (MDs), and other work scopes into schedules using Computerized Maintenance Management Software (CMMS) and other tools.

Collaborates with Planning, Logistics, Vehicle Systems Engineering, Shop Supervisors, and Managers to align weekly and daily schedules with deliverables and shop capacity constraints.

Leads and participates in Schedule Attainment and Backlog Review meetings; monitors schedule adherence and develops recovery plans to address missed milestones and resource constraints.

Develops and maintains visual scheduling tools, dashboards, and performance metrics to support operational decision-making, workload management, and schedule communication.

Monitors Key Performance Indicators (KPIs) such as schedule compliance, planned-to-unplanned work ratios, and labor productivity metrics; develops, reviews, and presents schedule performance reports, trend analyses, backlog metrics, and resource utilization data to management and other stakeholders.

Produces and distributes scheduling and compliance reports that support Reliability-Centered Maintenance (RCM) and Strategic Maintenance Program (SMP) tracking and reviews.

Reviews maintenance scheduling, work coordination, backlog management, and schedule attainment processes to identify inefficiencies; collaborates with stakeholders to develop and implement improvements using continuous improvement methodologies.

Trains, mentors, and develops staff; supports employee performance, career development, succession planning, and cross-functional collaboration.

Participates in readiness reviews for new capital equipment, modifications, or programs and provides feedback regarding fleet availability and scheduling assumptions.

Maintains documentation and version control of scheduling assumptions, priorities, and scope changes that impact maintenance schedules and fleet availability.

Participates in employee selection; evaluates performance; provides coaching, counseling, and corrective action as needed.

Provides scheduling support for maintenance-related projects and coordinates schedule integration across affected functions to support project implementation and fleet availability goals.

Develops and manages Critical Path Method (CPM) scheduling for projects, while factoring in forecasting, material and equipment availability, and the labor pool.

Minimum Qualifications

EITHER

Experience :
Current employment and at least two (2) years of experience as a Shop Scheduler with the San Francisco Bay Area Rapid Transit District.

OR

Education :
A Bachelor’s degree in engineering, business administration, operations management, or a closely related field from an accredited college or university.

Experience :
The equivalent of four (4) years of full-time experience in maintenance operations, maintenance planning, maintenance scheduling, asset management, or a related technical maintenance environment, which must have included three (3) years of experience using computerized maintenance management planning and scheduling tools.

Substitution :
Additional professional experience as outlined above may be substituted for the education on a year-for-year basis.

Knowledge and Skills

Knowledge of :
  • Maintenance planning and scheduling principles, including preventive, corrective, and campaign-based work execution strategies.
  • Reliability-centered maintenance (RCM), asset lifecycle management, and the role of planning in supporting system availability and safety goals.
  • Project coordination principles and techniques used to integrate maintenance activities with capital projects, modifications, and operational initiatives.
  • Shop operations and constraints, such as labor capacity, material availability, facility access, and the impact on production planning.
  • Computerized Maintenance Management Systems (CMMS) and third-party scheduling tools, including forecasting, backlog management, and reporting.
  • Public sector maintenance environments, including the coordination of work across unionized labor, engineering, procurement, and operations functions.
  • Principles of effective supervision, workforce planning, team performance, and continuous improvement.
  • Applicable regulatory standards and compliance requirements, including local, state, and federal codes impacting transit maintenance and safety.

Skill in :
  • Leading, developing, and supervising a team of schedulers in a unionized operations-critical environment.
  • Interpreting and applying Federal, State, and local policies, laws, and regulations.
  • Coordinating preventive, planned corrective, and project-based maintenance activities across multi-shift operations.
  • Applying critical thinking and root-cause analysis to scheduling conflicts, resource constraints, or planning gaps and resolving them collaboratively.
  • Utilizing CMMS and scheduling tools to optimize work plans, forecast needs, manage backlog, and track execution.
  • Translating strategic objectives, maintenance directives, or reliability initiatives into actionable work packages and executable schedules.
  • Interpreting and explaining technical maintenance requirements, organizational procedures, and labor agreements to various stakeholders.
  • Communicating clearly and persuasively with peers, technicians, shop leadership, engineers, and upper management, both verbally and in writing.
  • Establishing trust-based working relationships and fostering collaboration across Ops Planning, Maintenance Operations, Engineering, Logistics, and external vendors.
  • Managing competing priorities in a fast-paced, service-focused environment while maintaining attention to safety, documentation, and quality.
  • Supporting workforce development, succession planning, and knowledge transfer through mentoring, training, and process standardization.
