Summary

Program Administration

  • Manage day-to-day administrative operations for an academic program, partnering closely with program leadership, faculty, and senior administration.
  • Support faculty and student appointments, HR documentation, University policies, benefits, timesheets, and other personnel-related processes.
  • Serve as a primary point of contact for faculty and coordinate with Finance, Academic Affairs, Student Affairs, Admissions, and other internal teams.
  • Support curricular planning, faculty teaching schedules, class times, room assignments, and preparation of program and curriculum materials.
  • Manage program budgets and expenses, monitor spending, support financial reporting, and help ensure compliance with University policies and procedures.
  • Coordinate student course-related travel, faculty travel and business reimbursements, and honorarium processing.
  • Support accreditation reporting and reviews, including preparation of materials required by the National Architectural Accrediting Board (NAAB).
  • Assist with grant writing, fundraising initiatives, and other program priorities.

Student Advising & Career Services

  • Advise students on degree requirements, course selection, and registration procedures.
  • Partner with student organizations to support student initiatives and programming.
  • Assist with career services events, workshops, employer recruiting activities, and alumni engagement.
  • Maintain communications promoting full-time and part-time employment opportunities and other career-related resources.
  • Track and analyze student placement data and prepare reports to support future programming and initiatives.

Admissions, Outreach & Events

  • Support admissions activities, prospective student outreach, and fellowship/assistantship awards.
  • Partner with Communications and Admissions teams to ensure consistent program messaging and outreach.
  • Coordinate logistics for orientation, graduation, lectures, and other program events.
  • Manage program-related event planning in partnership with program directors, event staff, technology teams, and participants.

Qualifications

  • Bachelor's degree or equivalent experience required.
  • 3–5 years of relevant professional experience.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently and exercise discretion when handling sensitive or confidential matters.
  • Strong organizational skills with the ability to manage changing priorities, deadlines, and a high volume of detailed information.
  • Proficiency in Microsoft Office Suite.
  • Experience working in an academic environment is highly desirable.

Preferred Qualifications

  • Master's degree preferred.
  • Experience within architecture or a related field preferred.
