Museum Manager

Position Summary

The Museum Manager oversees the daily operations, financial administration, marketing, programming, and community engagement for the museum. As the sole paid staff member, this dynamic leader works closely with the Board of Directors, committees, and a dedicated network of volunteers to ensure efficient operations and advance the museum's mission.

CORE RESPONSIBILITIES

Financial Management & Administration

  • Grants & Fundraising: Find, write, coordinate, and facilitate grant applications; manage ongoing and design future fundraising efforts.
  • Financial Oversight: Maintain clear financial records using QuickBooks, including managing payroll, expenses, billing, payments, deposits, and petty cash.
  • Collaboration & Compliance: Partner with the Board Treasurer, bookkeeper, and accountant to prepare for audits, complete tax filings, and assist in annual budget development.

Marketing & Community Outreach

  • Digital Presence: Maintain branding and update website content using Squarespace; manage social media platforms with daily, engaging posts.
  • Public Relations: Write articles for local publications and actively promote museum programs, tours, and special events to build strong community relationships.

Membership & Development

  • Member Relations: Process new memberships and renewals, prepare membership materials, and collaborate with Area Representatives to re-engage past members.

Operations, Exhibits & Volunteer Leadership

  • Team Supervision: Recruit, schedule, train, and motivate the museum's vital volunteer workforce.
  • Daily Operations: Oversee visitor services, handle inquiries, and maintain museum procedures, security, and facility systems.
  • Exhibits & Facilities: Coordinate exhibit setups and rotations in partnership with volunteers, and manage routine maintenance, repairs, and facility projects.

Board Communications

  • Governance Support: Attend Executive Board meetings, communicate regularly with the Board and committees, support committee chairs, and maintain shared document access.

Qualifications & Skills

  • Experience: Previous experience in non-profit management, museum operations, or a relevant administrative leadership role preferred.
  • Technical Proficiency: Comfortable working with QuickBooks, Squarespace, Google Doc's, Adobe Creative Suite (Photoshop, Illustrator, Acrobat) and the Microsoft Office Suite (Word, Excel, Outlook).
  • Leadership: Proven ability to manage, inspire, and coordinate a diverse team of volunteers.
  • Communication: Exceptional written and verbal communication skills for writing grants, articles, social posts, and reporting to the Board.
  • Organization: Highly organized self-starter capable of managing multiple priorities independently.
