Summary
Credentialing Coordinator
Location: Jericho, NY (Onsite required)
Schedule: Full-Time | Monday–Friday, 8:30 AM – 5:00 PM EST (Flexibility required to meet provider schedules as needed)
About the Role
We are seeking a detail-oriented, proactive Credentialing Coordinator to manage the end-to-end onboarding and credentialing process for Clinical Reviewers, specifically supporting our U.S. Department of Veterans Affairs, Veterans Health Administration (VHA) Peer Review Contract.
In this role, you will act as the primary liaison for providers, guiding them through application processing, credentialing compliance, and system documentation. The ideal candidate is a self-starter with excellent customer service skills, a background in healthcare/physician administration, and the ability to solve problems independently while managing tight deadlines.
Key Responsibilities
- Application Management & Onboarding: Prepare, submit, and track initial and re-credentialing applications for Clinical Reviewers, including processing the VHA Federal PIV (Personal Identification Verification) card. Coordinate with external Credentialing Verification Organizations (CVO) and internal team members to expedite approvals.
- Provider Support & Communication: Provide high-touch, hands-on support ("white-glove treatment") to providers via phone and email. Assist reviewers with instructions, appointments, and application troubleshooting on short notice.
- Database Maintenance: Manage provider records across multiple internal and external software platforms (including Microsoft Office Suite and Valenz). Optimize workflow efficiency, run queries, generate reports, and maintain document accuracy.
- Compliance & Auditing: Maintain provider files in strict compliance with URAC, state/federal regulatory guidelines, and contract-specific requirements. Participate in internal audits and generate reports as requested.
- Expiration Tracking: Continuously monitor expiration dates for critical credentials (state licenses, CPR certifications, liability insurance) and facilitate timely renewals.
- Cross-Functional Collaboration & Meetings: Conduct ongoing Credentialing Committee meetings involving Medical Directors and internal/external stakeholders. Partner with recruitment, onboarding, and departmental teams on broader panel expansion projects.
Qualifications
- Experience: 1–3 years of administrative experience in a healthcare setting, ideally within physician administration, credentialing, or provider customer service.
- Education: Bachelor’s degree in Healthcare Administration, Business, or a related field preferred.
- Government Onboarding Experience: Prior experience with federal systems, government credentialing, or PIV card access facilitation is a major plus.
- Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint) and database management systems (experience with Valenz is a plus). Proven ability to quickly learn and work across multiple digital platforms.
- Interpersonal & Communication: Exceptional written and verbal communication skills, with a professional, customer-focused approach to working with clinicians, Medical Directors, and leadership.
- Work Style: Self-motivated problem solver with strong organizational skills, extreme attention to detail, and the ability to thrive under tight deadlines with minimal supervision.
Work Location & Schedule Details
- Location: Onsite presence in Jericho, NY is required.
- Hours: Core shift is Monday through Friday, 8:30 AM – 5:00 PM EST. Occasional schedule adjustments may be required to accommodate providers in different time zones or with varying availability.
