    Job Summary

    San José State University is seeking a highly organized and self-motivated Administrative Coordinator to support the Clinical Laboratory Scientist (CLS) and Clinical Genetics Molecular Biologist Scientist (CGMBS) Training Programs. Reporting to the Director of Resources and Operations and working under the lead direction of the Department Chair of Biological Sciences, the Administrative Coordinator provides critical administrative support to ensure the success of the department's operations, students, and faculty.

    Key Responsibilities
    • Coordinate program activities, including interviews, orientations, events, meetings, and graduations
    • Maintain academic calendars, electronic databases, course schedules, and marketing materials
    • Provide day-to-day clerical and front desk support for CLS and CGMBS programs
    • Manage communications via phone, email, and website
    • Assist with financial processes including purchase orders, reimbursements, and expenditure tracking
    • Collaborate with campus units for web services, IT support, and faculty assistance
    • Maintain supplies and equipment

    • Ability to develop, organize and maintain various office systems
    • Ability to monitor a budget, reconcile financial records, analyze data and make projections as needed
    • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area
    • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to consult with Director when precedents do not exist
    • Ability to coordinate and prioritize multiple administrative and clerical tasks for a variety of users, set schedules, complete projects accordingly, and direct student assistants
    • Ability to maintain confidentiality and appropriately handle sensitive communications with students, employees, and external agencies


    Required Qualifications
    • Completion of a high school program, technical/vocational program, or their equivalents
    • Three (3) years of related office work experience


    Preferred Qualifications
    • Two (2) years of progressively responsible administrative and office support / front desk customer service experience
    • PeopleSoft or similar databases and standard office software applications (MS Office, PeopleSoft)
    • Working in a higher education environment
    • Demonstrated ability to create various departmental reports


    Compensation

    Classification: Administrative Support Coordinator II
    Anticipated Hiring Range: $4,667/month - $5,234/month
    CSU Salary Range: $4,058/month - $6,653/month
