    This position is on-site. Potential hybrid remote work after successful completion of your first six months. Shift start time options are 7:30 am or 8:00 am.

    Provides advanced administrative and operational support to the Vice President, Chief Human Resources Officer (CHRO) and the Division of Human Resources. This position ensures efficient coordination of administrative processes, fiscal management activities, and division-wide logistics. The Business Coordinator serves as a key liaison for the CHRO, managing calendars, travel, purchases, contracts, and policy tracking, while assisting with special projects, budget preparation, and compliance-related reporting. The role requires a high degree of professionalism, accuracy, and discretion. A commitment to confidentiality, integrity, dependable follow-through, and a kindhearted approach in all interactions is essential to representing the Office of the Vice President and CHRO.

    The candidate in this position will interact with all employees with the highest level of courtesy and professionalism, demonstrate our values, and exercise confidentiality in all matters.

    Major/Essential Functions
    • Provides direct executive and administrative support to the Vice President, CHRO, including scheduling, calendar management, correspondence, event booking, meeting/event/retreat food ordering, and meeting preparation.
    • Tracks and coordinates all HR policies where HR is a reviewer or owner to inform CHRO in advance, ensuring timely proactive submission and compliance with institutional deadlines.
    • Tracks all CHRO projects, initiatives, and deadlines, maintaining a comprehensive dashboard for regular status review.
    • Ensures CHRO is informed of key institutional and system-level activities (e.g., BOR meetings, Legislative Session, internal leadership updates).
    • Conducts research, as assigned, to contribute to practices, policy development, and team initiatives.
    • Assists with the annual HR budget preparation and provides documentation or data to support financial planning.
    • Responsible for the timely preparation and submission of all HR labor redistributions across campuses to ensure complete and accurate use of available funding for salaries, to include running financial reports for the CHRO on a weekly basis.
    • Responsible for the timely and accurate processing of all HR divisional travel, including pre-approval, booking, and reimbursement.
    • Responsible for timely and accurate P-Card reconciliation and documentation for all HR accounts.
    • Processes all HR purchases through TechBuy, including supplies, computers, and other division needs.
    • Tracks all HR-related contracts for renewal, ensuring timely processing, invoicing, and payment upon CHRO review and approval.
    • Responsible for maintaining and submitting annual inventory control for HR equipment and computers.
    • Provides HR back-up support for transactional functions (e.g., ePAFs, PASS actions, employment verifications) and performs other duties as assigned to support the CHRO and division.


    Required Qualifications
    Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.
