    Anticipated Hiring Range: $5,797 per month

    Work Schedule: Monday - Friday 8:00 am - 5:00 PM

    THE DEPARTMENT:
    Academic Internship and Cooperative Education Coordinator coordinates the administrative and technical aspects of the CCE's engaged learning programs including Academic Internships and Cooperative Education. The position serves as the primary contact between the CCE and established and/or potential community and industry partners, regularly communicating to identify meaningful community engaged learning opportunities for CPP students and faculty; ensures accurate upkeep and maintenance of the online BroncoSERV engaged learning management platform, providing ongoing assistance, support and training as needed to various colleges, departments, faculty and students; and manages the KRONOS platform as it relates to the cooperative education program, providing support and training to industry partners and cooperative education students. This position is charged with expanding and centralizing engaged learning placements and training partners interested in developing new or enhancing existing placements. This position coordinates risk management of engaged learning placement sites by conducting site visits and having site specific agreement forms completed. This position oversees data collection, assessment and reporting of community engaged learning efforts. This position requires an effective communicator, self-starter and effective coordinator of resources along with the ability to monitor and prioritize deadlines and facilitate partner agreement renewals and amendments.

    DUTIES AND RESPONSIBILITIES:
    • Under the general direction of the lead coordinator of the Center for Community Engagement (CCE): Support the lead coordinator of the CCE in day-to-day management of the center, center staff, and center programs.
    • Coordinate the administrative ad technical aspects of the Cc e's Academic Internship Program: Make recommendations to the lead coordinator for Foundation and State budget allocations for internship activities and initiatives.
    • Participate in the planning and development of programming goals and objectives related to Academic Internships on campus ad within the CSU.
    • Support faculty in the development and management of partnerships.
    • Develop and implement a plan to expand academic internship opportunities to include all interested campus departments, identifying metrics for data collection, assessment, and risk management, and developing learning outcomes.     • Serve as liaison between CCE lead coordinator, Cal Poly Pomona Foundation, associate deans, faculty, industry partners, university administration, and the public.
    • Coordinate the administrative and technical aspects of the Academic Cooperative Education (ACE) Program: Evaluate and make recommendations related to operational and procedural matters related to ACE, make recommendations to the CCE lead coordinator for Foundation and State budget allocations for cooperative education activities and initiatives, and participate in the planning and development of programming goals and objectives related to cooperative education.
    • Serve as liaison between the CCE lead coordinator, Cal Poly Pomona Foundation, associate deans, faculty, industry partners, and university administrations, and covey policies and procedures in an accurate, precise manner, provide information on programs and resources related to cooperative education protocols.
    • Provide input to the CCE director on all external cooperative education grants acquired by CCE, oversee and track grant expenses and analyze expense reports, provide reports to the CCE director and to the Grants & Contracts Manager, maintain and oversee State and Foundation financial accounts for cooperative education, review to cooperative education programs. Coordinate and conduct training and workshops, program, and information sessions for faculty, students, and industry partners as appropriate.
    • Oversee and process cooperative education student and site paperwork regarding new hires, rehires, account number changes, status changes, termination (both voluntary and involuntary discharge), and the entry of the new hire and rehire, and change of account information into KRONOS. Conduct orientation and KRONOS training for student, faculty, staff, industry and community its partners in the cooperative education program.
    • Develop and implement a marketing plan to promote cooperative education programs, create marketing materials to promote cooperative education opportunities, policies, and procedures, and develop and make available metrics to demonstrate effectiveness of the cooperative internship program.
    • Serve as main point of contact for students, businesses/organizations, faculty, and the campus community regarding cooperative education inquires.
    • Partner relations Coordinate engaged learning sections of the databases and website in collaboration with CCE and CPP staff along with CSU technical support advisors (BroncoSERV is Cal Poly Pomona's portion of the California State University's - S-4 community engagement database platform). Serve as the point of contact for the BroncoSERV platform. Provide training for faculty, staff, students and partners on the use of BroncoSERV, maintain the platform and coordinate with the Chancellor's Office S4 team on the deployment and maintenance of BroncSERV.
    • Coordinate community and industry partner relations. Match community and industry with faculty, manage risk management agreements, conduct assessment of existing partnerships and impact of engaged learning on community and industry partners and student learning, analyze results and recommend changes to CCE learning coordinator. Implement risk management policies for CCE engaged learning opportunities, including required site visits, liability waivers and student consent forms, update risk management forms in accessible format as necessary, store all risk management forms in an electronic format.
    • Obtain signatures on engaged learning placement site agreement and maintain database of agreements for validity and expiration. Increase campus-wide awareness of engaged learning opportunities, conduct workshops and information sessions for faculty, students and community and industry partners. Develop and implement plan to expand the number of engaged learning opportunities and document growth of available opportunities.
    • Marketing and Outreach Maintain and enhance the CCE engaged learning web pages, update web page with current information, forms, articles, workshop calendar, signature internship opportunities. graphics and links to national partner websites. Correspond with program stakeholders as appropriate, oversee filing, databases and records, oversee documentation for accurate and concise reports and documents, develop and maintain working files, engaged learning designated class files, risk management files, databases and generate reports as necessary.
    • Develop and implement a marketing plan to promote engaged learning programs, create marketing materials (e.g., flyer's, postcards, etc.) to promote opportunities, policies, and procedures, and develop and make available metrics to demonstrate the success of the marketing plan.
    • Develop an assessment plan for the engaged learning processes to ensure that all academic departments are aware of EO 1064 and build partnerships with Academic Departments (advisors, chairs, faculty) to streamline engaged learning processes. Contribute to CCE Newsletter, CCE and OAI Annual Reports and other publications as necessary and assist CCE Lead coordinator and other CCE staff members as needed on Center's programs, events and projects.

    QUALIFICATIONS:
    • Bachelor's degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
    • Four (4) years of related experience
    • Driver License, Valid and in State Valid CA Driver's license with insurance
    • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations; demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management; expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies. Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions; ability to work with representatives from public and private entities and handle potentially sensitive situations; demonstrated consultative skills in working with internal and external constituent groups; ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus; ability to train others on new skills and procedures and provide lead work direction.


    PREFERRED QUALIFICATIONS:
    • Minimum of 5 years’ experience working in the university-level environment with students, faculty, staff, administrators; project management experience; event planning experience; 5 years’ administrative work experience; demonstrated ability to work closely with alumni and the external community; demonstrated knowledge of Cal Poly Pomona academic and administrative policies and procedures; demonstrated ability to lead and work closely with staff and student assistants; and demonstrated ability to work across departments, colleges and multiple organizational units on a university campus.

    CSU Classification Salary Range

    This position is part of the CSUEU bargaining unit 9. The CSU Classification Standards for this position are located on the CSU Classification Standards website . The CSU Salary Schedule is located on the CSU Salary Schedule website . The classification salary range for this position according to the respective skill level is: minimum $5,797 and maximum $8,445 per month.     University Driving Requirement

    Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy.
