    TEMPORARY END DATE: This position is temporary and ends on or before June 30, 2026. Any continuation beyond June 30, 2026 is contingent upon satisfactory performance and available funding.

    FT/PT: Full-time

    PAY PLAN: 12-month

    WORKPLACE TYPE: On-site (work in-person at business location)

    ANTICIPATED HIRING RANGE: Starting salary upon appointment is not expected to exceed $4,482 per month

    CSU CLASSIFICATION SALARY RANGE: $4,482 - $6,342

    PAY BASIS: Monthly

    POSITION PURPOSE: The CSUB Office of Student Involvement enhances the quality of the student experience through supporting student clubs and organizations, creating and promoting involvement opportunities for all students, and encouraging active participation in the student learning process.

    Under the general supervision of the Director of Student Involvement, the Student Clubs and Organizations Assistant will assist with all major aspects of student involvement as it relates to student clubs and organizations. This includes, but is not limited to, the registration and recognition of student groups, co-advisement of fraternity and sorority life, event planning, and marketing and communications for department-led activities.

    DUTIES & RESPONSIBILITIES:

    Student Clubs and Organizations
    Provide information to students and advisors regarding the chartering requirements for recognized student organizations. Assist students with completing the registration process for new and returning clubs and organizations through RunnerSync; review submissions and coordinate in-person follow-up as needed. Maintain and update student organization materials, including documents, resources, databases, (e.g. ‘Runner Involve platform). Track and update records for all student organizations that have completed or are pending registration. Conduct preliminary reviews of student organization constitutions to identify missing information or errors prior to final review by the Director. Coordinate and facilitate quarterly make-up sessions for student groups that missed the initial orientation. Assist in reviewing and updating policies and procedures related to student organizations in collaboration with the Director. Support the review and maintenance of the Runner Source Student Organization Handbook as directed. Represent the office at resource fairs and campus events to provide information on student organizations and involvement opportunities. Provide general guidance and support to clubs and organizations on event planning, budgeting, and purchasing processes.
    Fraternity and Sorority Life
    Serve as a co-advisor by assisting with advising fraternity and sorority governing councils by supporting adherence to local and national standards, tracking membership and dues, assisting with recruitment logistics, scheduling meetings, and maintaining attendance records. Support the coordination of fraternity and sorority recruitment activities, Greek Week, and other community-wide events by assisting with event planning, logistics, and space reservations through 25Live. Assist in collecting and compiling participation data, membership numbers, and event statistics for use in annual reports related to Fraternity and Sorority Life. Provide support to the Greek Council Executive Board, Greek Council, IFC, NPC, and NPHC by attending meetings, offering guidance on procedures, and sharing information from the Director or campus administration. Serve as a resource to fraternity and sorority members by providing information, clarification, and referrals related to university policies, event planning, and leadership development. Attend regular council meetings and individual chapter meetings to provide updates, answer questions, and share reminders about campus requirements. Encourage collaboration among student organizations and assist in promoting positive relationships and leadership development consistent with university and Greek Life values. Serve as the main point of contact and assist in maintaining communication with national offices and umbrella organizations (NPC, NPHC, IFC), and coordinate information sharing between those entities and the campus. Support the coordination of Greek Life expansion activities by helping communicate with interested groups, campus partners, and community stakeholders as directed.
    Event Planning
    Coordinate club fairs and other activities that create visibility for student organizations in collaboration with the Director. Collaborate with campus partners and the Director to support the planning and implementation of events that enhance campus life, including recognition ceremonies such as the Student Leadership Hall of Fame and Student Leadership Awards. Represent the department at campus-wide events and resource fairs to provide information about student engagement and organizational involvement opportunities.
    Marketing and Communication
    Manage departmental social media accounts to promote student organizations and events. Assist with creating department newsletters to inform student organizations of important updates and upcoming events.
    REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE - Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or job-related field and one (1) year of recent related experience. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis. Equivalent amounts of graduate level job related education may be substituted for the required experience.

    SKILLS, KNOWLEDGE & ABILITIES (SKA’s) -

    • Ability to rapidly acquire a working knowledge of the specific objectives of the campus Student Services program and its relationship to the total campus operation.
    • Basic knowledge to gather and analyze data; reason logically, draw valid conclusions and make appropriate recommendations.
    • Attention to detail.
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high-level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University, with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

    • Ability to maintain a high degree of confidentiality.
    • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
    • Excellent computer skills and competence with a variety of computer applications, including word-processing, spreadsheets, databases, online systems, Internet, as well as online calendaring and email.
    • Working knowledge of or ability to quickly learn University infrastructure.
    • Must be willing to travel and attend training programs off-site for occasional professional development.
    • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

    PREFERRED QUALIFICATIONS:
    • A master’s degree in a related field.
    • Demonstrated previous leadership experience
    • Demonstrated skills in an institutional/educational environment.
    • Possessing a customer-oriented and service-centered attitude.

    PHYSICAL DEMANDS: LIGHT WORK - involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.
