    Job Summary:

    Under general supervision, provide clerical and administrative support to front desk services for the Office of the Registrar, as well as Records and Registration units. This position assists the student population with various Office of the Registrar services, primarily with myCoyote and records and registration processes. The role requires exercising judgment, applying university policies, and coordinating administrative functions to ensure efficient operations.

    Responsibilities:
    • Under general supervision, apply thorough knowledge of university policies and procedures to resolve inquiries received in person, by phone, email, and through the QLess virtual platform. Exercise reasoning and judgment to provide guidance and offer solutions. Route complex matters to appropriate personnel.
    • Review and process registration requests (adds, drops, petitions, etc.) applying established procedures and FERPA guidelines to ensure student privacy. Identify and refer sensitive situations to appropriate staff in order to maintain compliance.
    • Issue enrollment verifications and confirm completion of degrees, ensuring accuracy and adherence to policy.
    • Monitor, review, and troubleshoot registration issues in compliance with university policies and procedures for accurate outcomes.
    • Support the coordination of programs such as Cross Enrollment, High School/University, CSU Fully Online, Repeat of ‘C’ regulations, and the Over 60 Program by providing information and processing documents in accordance with established procedures and guidelines.
    • Process EO 1037 exceptions authorized by Academic Success and Undergraduate Advising, ensuring accurate application of university regulations.
    • Coordinate with offices such as Financial Aid, Student Financial Services, Admissions, and Advising to resolve student issues; exercise judgment to provide equitable solutions.
    • Provide lead work direction and training to student assistants. May provide input for annual performance evaluations.
    • Maintain and update training handbooks to support consistent staff development and knowledge sharing.
    • Maintain the Office of the Registrar’s website and social media platforms (e.g., Instagram)
    • Create and post announcements to ensure accurate communication of services and deadlines to the campus community.
    • Perform other classification related duties as assigned to support the effective operations of the Office of the Registrar.


    Minimum Qualifications: Required Education and Experience
    • High School diploma or its equivalent and three years of progressively responsible experience in general office clerical or secretarial work or the equivalent


    Required Qualifications

    • Experience to be fully functional in all technical aspects of work assignments.

    • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.

    • Thorough knowledge of English grammar, punctuation, and spelling.

    • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.

    • Ability to independently handle multiple work unit priorities and projects.

    • Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.

    • Working knowledge of budget policies and procedures.

    • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.

    • Ability to draft and compose correspondence and standard reports.

    • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

    Compensation and Benefits:

    Anticipated salary step placement: $4,047.00 monthly (Step 1)

    Classification Salary Range: $4,047.00 - $5,896.00 monthly (Step 1 - Step 20)

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Position Information:

    Work status: Full-time /Non-Exempt/Probationary

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

    Background Check

Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
