    TEMPORARY END DATE: This position is temporary and ends on or before June 30, 2026. Any continuation beyond June 30, 2026 is contingent upon satisfactory performance and available funding.

    FT/PT: Full-time

    PAY PLAN: 12-month

    WORKPLACE TYPE: On-site (work in-person at business location)

    ANTICIPATED HIRING RANGE: Step 1 $4,198 - Step 4 $4,455
    • However, offer amount will be commensurate with candidate’s experience, education, skills, and training.

    CSU CLASSIFICATION SALARY RANGE: $4,198 - $6,115

    PAY BASIS: Monthly

    POSITION PURPOSE: Within the Division of Student Affairs and Strategic Enrollment Management, the Campus Programming (CP) department is a vital member of campus life and provides opportunities for collaborations between students, faculty and staff on programs and events. The Campus Programming department is responsible for leading traditional programs including but not limited to, `Runner Nights, Rowdy Run, Week of Welcome (WOW), Brown Bag Discussions, Expression Nights, `Runner Letter Day, International Education Week, Homecoming Week, Study Strong, and collaborating with other social, educational, and cultural events/programs such as Latinx Heritage Month, Black History Month, `Runner Family Weekend, OUTober and others.

    Under direct supervision of the CP Director, the Campus Programming Event Planner will perform entry-level professional duties utilizing basic concepts and practices within the event planning and management field. The incumbent will assist with coordinating with internal and external stakeholders to support planning, organizing, scheduling, and executing event details including location scouting and booking, speaker identification (as needed), invitations/registration, catering, entertainment, technology, equipment, staffing, and other relevant activities.

    The Event Planner will help develop event timelines, budgets, and work plans to ensure successful execution including coordinating day-of event logistics that will require schedule flexibility for evening and weekend events. The Campus Programming Event Planner will contribute to the department’s mission of promoting active and informed engagement through traditional and innovative educational, cultural, and social programs that will enhance campus life at CSUB.

    DUTIES & RESPONSIBILITIES:

    Campus Life Event Planning
    Following established guidelines, policies, and procedures, assist department team with planning, developing, promoting and executing campus life events. Support efforts to ensure events align with the university’s mission and student interest/engagement. Contribute to the development of event logistics including but not limited to themes, objectives, timelines, vendors, reservations, budgets. Prepare and coordinate the distribution of event and promotional materials (programs, signage, invitations, communications, feedback surveys and promotion). Includes use of various communication channels, such as websites, social media, and email campaigns. May create straight forward communications. Participate in planning committees to provide input and support for on event ideas, logistics, budgeting and execution.
    Event Logistics & Vendor Coordination
    Communicate and coordinate with vendors to source estimates, availability, and event confirmation as directed. Assist with vendor compliance in the CSU P2P system. Prepare and complete appropriate routine paperwork (invoices, work orders, and requisitions). Coordinate event logistics including staffing, equipment, and facilities. Includes managing setup and tear-down and other logistical components such as vendor management, security, and parking. Provide work direction to volunteers, student employees, and team members as needed. Consult with department director and/or events leads to respond to complex or more difficult questions and situations.
    Budget & Reporting
    Gather and analyze data to support the development and management of event budgets; selection of vendors or venues; development of complex schedules, and related event planning. Utilize and maintain event database to ensure event details are captured (planning, activation and post-event).
    Department Operations Support
    Assist Director of Campus Programming with day-to-day functions of department. Perform general office duties as directed.
    REQUIRED QUALIFICATIONS:

    EDUCATION & EXPERIENCE - Equivalent to a bachelor’s degree in a related field. Relevant education and/or recent related experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

    LICENSES - Possession of a valid driver’s license or the ability to obtain by date of hire.

    SKILLS, KNOWLEDGE & ABILITIES (SKA’s) -
    • Regular and reliable attendance is required.
    • General professional knowledge of events and conference planning and management.
    • Demonstrated communication and interpersonal skills to collaborate effectively with internal and external stakeholders and event attendees.
    • Skill in following guidelines and providing input and feedback as required and applicable.
    • Ability to work both independently as well as part of a team, with a customer and stakeholder service-oriented approach.
    • Flexibility to adapt to changing priorities and deadlines.
    • Analytical and math skills to complete research and coordinate and reconcile financial accounts.
    • Computer skills to appropriately use technology and relevant software packages as required.
    • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
    • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
    • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
    • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
    • Thorough knowledge of English grammar, spelling, and punctuation.
    • Ability to interpret, communicate and apply policies and procedures.
    • Ability to maintain a high degree of confidentiality.
    • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
    • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
    • Working knowledge of or ability to quickly learn University infrastructure.
    • Must be willing to travel and attend training programs off-site for occasional professional development.
    • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

    PREFERRED QUALIFICATIONS:
    • Master’s degree in Higher Education, Student Affairs, Educational Leadership, or related field.
    • Experience working in a higher education setting, specifically in student programming/events.
    • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

    PHYSICAL DEMANDS: LIGHT WORK - involves mainly sitting, up to 25% standing or walking; lifting medium weight objects limited to 25 pounds.

    SPECIAL CONDITIONS:

    SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Appraisal Board for the purpose of appraising training, experience, and interest in the position.
