    An Admin Services Coordinator job is available with the City of Fort Worth Financial Management Services Department, Purchasing Division. This position will be responsible for managing administrative needs for the Purchasing division and will serve as the backup Human Resource Coordinator (HRC) and Medical Records Custodian (MRC) for the FMS department. In this role, the selected candidate will supervise, manage the requisition-to-payment process, ensure contract compliance, oversee contract renewals, monitor PO and invoice tracking, and assist with HRC/MRC needs for the department.

    Minimum Qualifications:
    • Bachelor's degree from an accredited college or university with major coursework in public administration, business administration, human resources, or related field.
    • Four (4) years of increasingly responsible administrative and operational experience in support of a department, division, or major service area; including one (1) year in a supervisory or lead capacity.

    Preferred Qualifications:
    • Experience with City Purchasing Policy and Procedures
    • Experience with pertinent Federal, State, and local purchasing laws, codes, and regulations
    • Experience working with financial management, HR systems, and purchasing platforms such as PeopleSoft, SAP, Bonfire, or similar
    • Experience interpreting and applying City Personnel Rules and Regulations.
    • Two (2) years of supervisory responsibilities and human resource coordinator activities.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools

    The Admin Services Coordinator job responsibilities include:

    Purchasing:
    • Supervises staff, which includes prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained; ensuring employees follow policies and procedures; maintaining a healthy and safe working environment; and, making hiring, termination, and disciplinary decisions or recommendations.
    • Oversees and manages the City's central mailroom operations
    • Assist CFW departments with Purchasing questions and offer solutions to their procurement needs, draft policy/procedures and create training documents for Purchasing needs, and troubleshoot department questions with PO's, requisitions, and the PS Purchasing software system
    • Manage purchase orders, receipts, and vouchers, monitor contract renewals, and related financial reporting, ensuring accuracy, timeliness, and alignment with budget goals.
    • Assist in managing contracts and coordinates and facilitates new agreements
    • Assist in forecasting department spending, track expenses, and prepare monthly financial reports for budget development
    • Support travel request needs, including building travel estimates, travel authorizations, booking arrangements, processing requests, and ensuring budget and approval compliance.
    • Manage and complete Public Information Requests

    HRC/MRC:
    • Assists primary HRC/MRC with human resources functions for the department; interprets personnel rules and regulations; research recruitment and compensation issues.
    • Provides guidance to supervisors and employees regarding work-related issues. Refers employees and supervisors to appropriate resources; informs of and interprets personnel rules and regulations; and assists with conflict resolution, as necessary.
    • Backup HRC/MRC for payroll/timekeeping, recruitment needs, processing ePars, reclassification requests, new employee onboarding, and employee outprocessing
    • Completes onboarding requirements for new hires, transfers, and temporary staff to include setting up network access, workstations, and establishing needed security roles for each position
    • Maintain and update division organizational charts, computer inventory, phone lists, and professional memberships
    • Performs other related duties as required

    Working Conditions and Physical Demands:

    Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.

    Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

    Medical Program

    Vacation

    Holidays

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
