DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS - Assist in the planning, coordination, and execution of the Mayor’s Civic Celebration Program to encourage and promote the arts through the presentation, performance, execution, and exhibition of performing and visual art forms.
- Serve as an operations and production assistant for major events, including overseeing creative setup, on-site execution, and load-out activities.
- Conduct comprehensive event planning and on-site evaluations to ensure events are delivered safely, efficiently, and in compliance with applicable rules, regulations, and procedures.
- Research, evaluate, and recommend creative event components, production elements, and enhancement opportunities to support program objectives.
- Coordinate operational activities across multiple events, including managing schedules, budgets, risk mitigation strategies, and vendor relationships to ensure events are delivered on time and within budget.
- Collaborate with cross-functional teams, City departments, stakeholders, community partners, private event producers, and external vendors to facilitate successful event planning and execution.
- Receive and review permit applications; evaluate event requests; determine applicable fees and operational stipulations; collect fees; and issue permits in accordance with City policies and procedures.
- Work closely with private event producers to ensure compliance with all requirements and deadlines while maintaining accurate community scheduling, reports, and related records.
- Assist in the development and implementation of computerized systems and tools related to event processing and tracking.
- Prepare and maintain detailed work plans, checklists, and requisite sheets for all assigned events.
- Negotiate and manage vendor contracts and service agreements, and support on-site logistics and post-event evaluations and reporting.
- Support the department’s social media program related to special events and community engagement.
- Collaborate with the graphic designer to develop marketing materials for events and social media.
- Assist in developing and implementing policies and procedures related to special events in accordance with City Code.
- Represent the Director and act as a liaison to other City departments, government agencies, and private-sector organizations, as assigned.
- Work evenings, weekends, and holidays as required to support event operations.
- Manage multiple projects simultaneously in a fast-paced environment using project management and event planning software.
- Perform other related duties as assigned.
- Drive on City business as required.
WORKING CONDITIONS Requires lifting of moderately heavy items weighing up to 40 pounds. May experience long periods of walking and standing on rough surfaces. May be exposed to various weather conditions on outside assignments.
MINIMUM REQUIREMENTSEDUCATION REQUIREMENTS Requires a bachelor’s degree in Business Management, Marketing, Architecture, Civil Engineering, Construction Management, Landscape Architecture, Project Management, or a closely related field based on the responsibilities of the position.
EXPERIENCE REQUIREMENTS Four years of experience in managing events/projects/programs, construction, construction inspection, design, landscape design, geotechnical, environmental or a closely related field are required.
Directly related professional experience may be substituted for the education requirement on a year-for-year basis.
LICENSE REQUIREMENTS Requires a valid Texas Class C driver's license and compliance with the City of Houston's policy on driving (AP 2-2).
PREFERENCESPreference will be given to applicants who possess relevant experience in event coordination or similar roles that demonstrate the ability to plan, organize, and manage events.
The desired candidate will possess the following:
- Minimum of 3-5 years of experience managing events, projects, or programs from concept through execution
- Proven experience planning, coordinating, and delivering events on time and within budget
- Strong background in project management, including scheduling, budgeting, risk management, and vendor coordination
- Experience working with cross-functional teams, stakeholders, clients, and external partners
- Demonstrated ability to manage multiple projects simultaneously in a fast-paced environment
- Experience negotiating and managing vendor contracts and service agreements
- Proficiency with project management tools and event planning software
- Strong communication, organization, and problem-solving skills
- Experience with on-site event execution, logistics, and post-event evaluation
