The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.
- Answer phones and emails, route inquiries, draft and proofread correspondence, memos, reports, and presentations; serve as a courteous point of contact for internal and external stakeholders.
- Manage calendars, schedule meetings, reserve conference rooms, and coordinate meetings, appointments, travel, and conference logistics.
- Prepare agendas, assemble meeting packets, arrange rooms/technology, take minutes, track action items, and distribute follow ups.
- Perform filing, scanning, photocopying, mail distribution, and data entry; maintain electronic and paper records in compliance with retention policies.
- Create purchase requests, process invoices, purchase orders and expense reports, reconcile P-card statements, track expenses and bureau budget, and maintain supply inventory and equipment; liaise with fiscal/Procurement and IT teams and ensure continuity of operations.
- Assist with special projects, process improvement, and event coordination; create simple forms, guides, or checklists to streamline workflows.
Minimum Qualifications: - High school diploma or equivalent. Associate degree or coursework in business administration, public administration, or a related field, preferred.
- 3-5 years of administrative, clerical, or customer service experience in an office environment. Experience in state government or public sector administration, preferred.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, PowerPoint) and basic office equipment.
- Strong written and verbal communication; excellent attention to detail; ability to organize work, set priorities and meet deadlines with minimal supervision.
- Experience with finance/budget tracking, P-card reconciliation, and invoice processing.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
