    Overview

    The Procurement Assistant will be responsible for overseeing the administration and management of the City's Procurement Card (P-Card) Program. The position will ensure compliance with the P-Card Polley, handling cardholder Inquiries, monitoring transactions, and supporting the effective use of the P-Cards to streamline the purchasing process.

    Responsibilities

    • Manages the dally operations of the procurement card (P-Card) program

    • Sets up, modifies, and deactivates P-Cards as required

    • Ensures all P-Card holders are properly trained on the program's policies and procedures

    • Monitors and ensures compliance with organizational policies and guidelines

    • Reviews transaction reports for discrepancies or irregularities

    • Prepares detailed reports on P-Card usage, including summaries of expenditures and trends

    • Works with Internal audit teams to ensure the accuracy of financial data and compliance with regulations

    • Tracks and reconciles P-Card transactions on a regular basis

    • Assists with the coding and allocation of transactions to the appropriate departments and budgets

    • Reviews receipts and supporting documentation for compliance with program policies

    • Provides customer service to cardholders by responding to Inquiries, resolving Issues, and assisting with troubleshooting

    • Works closely with departments to assist in managing P-Card limits and usage for operational needs

    • Maintains organized records of P-Card applications, approvals, transactions, and monthly reports

    • Ensures all transactions are properly documented and readily accessible for auditing purposes

    • Investigates and resolves any discrepancies or Issues related to P-Card transactions or accounts

    Position Type and Typical Hours of Work

    • Non-Exempt-Full-Time-Monday- Friday 8:00am-5:00pm

    • Must be available to work additional hours as needed

    • Flexibility to work evenings, weekends, and holidays is a schedule requirement

    • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

    Minimum Qualifications

    • Associate's degree (AA/AS); or 2-year technical certificate

    • Two (2) years of experience

    Licenses and Certifications

    • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hiring

    Basis of Rating

    A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview
