Overview The budget associate supports the Capital Budget Team directly, completes budget analysis, budget transfers, maintains budget information in eBuilder (project management system). Runs reports and reviews for accuracy. Assists with documenting processes and providing training to other departments. Provides administrative support to all Management and Budget staff which may include scheduling meetings and interviews, preparing meeting materials, answering and directing phone calls and setting up for meetings. This position will serve as department agenda coordinator for City Council or Board/Committee agenda items. Responsible for managing department purchase orders, placing and receiving orders, monitoring inventory, and will be the department purchase card (P-Card) holder. Responsible for processing travel, mileage and expense reimbursements. Also responsible for document retention and destruction. This position will also coordinate all maintenance requests with facilities, vending and copier vendors.
Responsibilities • Process budget transfers for capital improvement projects
• W ork with departments to analyze and validate requests and provide confirmation when completed
• Review project financials to confirm accuracy of budget and reporting
• Ensure project information in e-Builder matches INFOR and our system of record
• Ensure any changes to projects within INFOR are mirrored in e-Builder so project manager can see the most accurate and up-to-date information
• Assist with the preparation and distribution of the capital and operating budget books
• Consolidate files, edit documents, track changes and deliver books
• Work with IT and Communications to ensure website is current and files are uploaded as updates become available (includes all budget development documents and presentations)
• Department document retention specialist
• Work with City Secretary's Office to ensure document destruction is done following proper procedures
• Create and implement document destruction deadlines for document staff
• Train document staff on proper retention periods for various types of documents
• Create and manage department purchase orders, monitor inventory and order supplies when needed
• Serve as department purchase card (P-Card) holder for purchases, travel, mileage and expense reimbursement
• Coordinate and follow up on all maintenance requests until they are satisfactorily completed
• Maintains copier and workstation near copier
• Organize and clean supply closet/cabinet, kitchen refrigerator and cabinets and any other common areas utilized by the department
• Serve as department agenda coordinator for any items sponsored by the department for City Council, Boards, and committees in our agenda tracking system
Position Type and Typical Hours of Work • Exempt - Full-Time
- Flexibility to work evenings, weekends, and holidays is a schedule requirement

Minimum Qualifications • Bachelor's degree
• Six (6) months to One (1) year of related experience
Licenses and Certifications Required • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hire

Basis of Rating A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview.
