    Description

    The Administrative Specialist I performs a variety of secretarial and general office assistance duties to support the department. This position answers phones, greets visitors, faxes and copies documents, enters computerized data, assists with monthly reports, and organizes and maintains files.

    Examples of Duties

    Utilizes computerized data entry equipment and various word processing, spreadsheet and/or file maintenance programs to enter, store and /or retrieve information as requested or otherwise necessary; summarizes information for standard reports and financial statements, selecting data from varied sources.

    Types materials into form from typed or handwritten copy or machine dictation using a variety of complicated formats for preparing correspondence, statements, reports, etc.; assumes responsibility for correctness of spelling, punctuation, format, and grammar.

    Answers telephone and greets visitors, receiving inquiries and providing information or referring inquiries to appropriate personnel; routes incoming calls and records messages, as necessary.

    Processes outgoing mail, including preparing photocopies and collating materials.

    Schedules meetings and appointments of staff.

    Maintains office supply inventories; completes requisitions and purchase orders; receives and checks supply orders and maintains dated records.

    Regular and punctual attendance is required.

    Performs other related duties as required.

    Minimum Qualifications

    High School Diploma or GED and a minimum of 1 year experience in a related field; or an equivalent combination of education and related experience required.

    Specific certifications related to the area of assignment may be required for this position.

    Family Medical Leave:Denton Countyemployees who have been employed for one year and who have worked 1250 hours in the preceding year may be eligible for up to twelve weeks of FMLA leave.
    The FMLA provides for up to 12 weeks of job-protected leave
    • for the birth, adoption, or placement of a child for foster care
    • to care for a child, spouse, or parent with a serious health condition
    • for an employee with a serious health condition
    Employees who will be away from work for one of these reasons should contact Human Resources for additional information. When possible, an employee should provide at least 30 days advance notice. In the case of an emergency, notification should be made as soon as possible.
