University Enterprises Corporation at CSUSB ("UEC") supports the university's educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We’re responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.
Position Summary
Temporary, Staff, Part Time, Non-Benefited position through 6/30/2027 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).
Salary: $4,588.00-$6,000 per month.
Location: UCDD CSUSB location, and other on campus locations.
Work Schedule
40 hours per week. Typically, Monday through Friday, 8:00AM to 5:00PM. Some nights and weekends may be required.

Typical Activities
Under minimal supervision of UCDD's Director, the Fiscal and Operations Coordinator will work independently to:
- Responsible for documenting expected revenues and expenditures and submitting to management. Duties entail budgeting, purchasing, reconciliation, compliance, financial analysis, and reporting.
- Responsible for verifying, maintaining, and posting financial data in accounting record such as invoices, purchase orders, and other business transactions.
- Responsible for procurement of department repairs orders, and office supplies. Collaborate with Facilities to maintain that all rooms of the center are maintained, and cleaned. Communicate regularly with the Project Coordinator to ensure supplies are available in the center as needed.
- Responsible for tracking client and parent attendance, support services provided (specific code) and perform funder billing and report weekly updates to the Director and the accounting department on the billing status. Responsible for preparing and tracking financial paperwork for vendor approval.
- Coordinate recruiting and outreach events under the supervision of the Director. Responsible for facilitating the hiring process of Behavioral Technician Assistants (BTAs}, Behavioral Technicians (BTs)/Supervisors, and Counselors in collaboration with the UCDD Project Coordinator. Report on employee referrals, hiring progress, separation updates, and other office operational issues to the Director.
- Responsible party to approve payroll for Behavioral Technician Assistants, Behavioral Technicians, Supervisors, and Counselors at the end of each pay period. Develop and maintain spreadsheets to track:
- 1) clients' hours served,
- 2) employee hours worked, plus
- 3) in-house and telehealth sessions.
- Coordinate with supervisors and counselors to acquire essential documentation to process timely billing and payroll.
- Responsible for scheduling, tracking, and ensuring compliance of employee training, certifications (e.g. CPR, NPI, RBT) and CSULearn. In consideration of pending certification deadlines, will contact employees via phone or email with reminders about training pending completion due dates. Maintain verification documentation.
- Collaborate with the UCDD Project Coordinator regularly to design, document, and update UCDD policies, procedures, and forms. Perform maintenance and renovation to the UCDD website under the supervision of the Director.
- Participate in weekly office meetings.
- Occasional in-state conferences, meetings, and networking functions may occur. Approximately 2-3 times per year.
- Coordinate faculty overload with the Watson College of Education analyst.
- Other UCDD related duties as assigned.
Minimum Qualifications
- Education: B.A. Degree in Accounting, Management, or closely related field.
- Experience: Two-three years of progressive administrative duties (e.g., accounts payable, accounts receivable, budget management, and financial reporting).
- Other:
- Be able to develop billing procedures to ensure accuracy, consistency, and compliance with applicable laws and funder requirements.
- Have the ability to accurately maintain records and files as well as maintain a high degree of confidentiality.
- Have strong organizational skills, be very detail-oriented, along with the ability to follow directions, take initiative, be flexible, multi-task and with minimal supervision while making decisions on a day-to-day basis.
- Have the ability to interpret and apply policies and procedures with minimal supervision and use judgment and discretion to act when precedents do not exist, along with the ability to troubleshoot most office administration problems.
- Have a sound foundation in computation, and English grammar. Spanish as an additional language is an added plus.
- Have experience using standard office software programs such as Microsoft Office Suite (e.g., Outlook, Word, and Excel) as well as Adobe Acrobat.
Preferred Qualifications
- Familiarity with Oracle PeopleSoft CFS, Workday Financial Management, Ellucian Banner, eClinicalWorks, ADPICS, AS400, Sage 100, or similar financial tool.
