Job Description

DESCRIPTION

The Department of Public Works has three (3) immediate openings for full-time, unclassified, at-will, Clerk Typist III.

One (1) position is available in the Engineering Bureau, one (1) position is available in the Transportation Project Management Bureau, and one (1) position is available in the Transportation Services Bureau. The incumbents will provide direct clerical support to a division head and division staff with daily administrative functions such as calendaring, answering phones, timesheets, and other administrative support.

THE DEPARTMENT

The mission of the Department of Public Works is “to maintain and enhance the City’s infrastructure and environment for the benefit of the public.” The Department’s core services are focused on providing for and maintaining safe and efficient infrastructure for the community, providing for sustainable environmental protection including water quality and waste collection and diversion, and safely and efficiently designing, constructing, delivering, protecting, and maintaining services for public facilities and public rights-of-way. The Department has six bureaus: Business Operations, Engineering, Environmental Services, Project Management, Public Service, and Transportation Project Management. The Department has over 690 budgeted positions with an annual operating budget of $250 million and an annual capital improvement program budget of $190 million. EXAMPLES OF DUTIES

  • Provides direct clerical support to division head and staff
  • Assists with scheduling and organizing meetings, trainings, and travel arrangements for various activities.
  • Maintains and produces various types of reports and logs.
  • Establishes, develops, and maintains filing systems for records and forms.
  • Assists with editing letters, spreadsheets, Council Letters, and Council Memos.
  • Manages copier supplies and maintenance requests, office supply orders, and shredder bin removal.
  • Assists with researching, interpreting, and implementing safety policies and procedures.
  • Acts as a liaison with other departments and outside agencies.
  • Assists with clerical/administrative duties to support Division.
  • May compose correspondence, write desk manuals, compile information, and prepare reports.
  • Provides backup support for Bureau secretary.
  • Performs other related duties as required.


ENGINEERING BUREAU

The Engineering Bureau is composed of three primary divisions: the Civil Engineering Division, the Traffic Engineering Division, and the Stormwater Management Division. Together, these divisions support the City’s infrastructure, safety, and environmental compliance efforts through a wide range of engineering, planning, and technical services.

TRANSPORTATION PROJECT MANAGEMENT BUREAU
The Transportation Project Management Bureau (TPMB) focuses on planning and project delivery for a diverse array of programs for arterial streets, residential streets, alleys, complete street corridor improvements, and special capital improvement projects. TPMB manages mobility projects, pavement management, and other critical horizontal right-of-way projects.
TRANSPORTATION SERVICES BUREAU
The Transportation Services Bureau (TSB) ensures the City's public right-of-way is clean, accessible, and safe while advancing a modern, multimodal transportation network. The bureau blends essential municipal services like parking enforcement and street sweeping with forward-looking mobility initiatives, all aimed at improving daily travel and enhancing residents' quality of life.

REQUIREMENTS TO FILE

  • Ability to type neatly and accurately at a net speed of 40 words per minute.
  • Ability to file in alphabetical and numerical order.
  • Ability to make simple mathematical computations.
  • Ability to correct errors in grammar, spelling, and punctuation.
  • Ability to work cooperatively with other employees and the public.
  • A valid driver’s license, or the ability to arrange necessary and timely transportation for field travel, may be required for some assignments.

  • Exceptional verbal, written, and customer service skills, including the ability to maintain confidentiality.
  • Ability to complete assignments independently, accurately, and on time.
  • Excellent planning and time management skills.
  • Flexible and adaptable with respect to changing priorities.
  • Thorough knowledge of office procedures.
  • Exceptional work habits, including punctuality and attendance.
  • Proficient in spelling, grammar, punctuation, and English language skills.
  • Skilled in a wide range of software, including Word, Excel, PowerPoint, Internet, Outlook, and database programs such as Access.
Desirable Qualifications:
  • Two years of paid (full-time equivalent) clerical experience and experience supporting a manager or supervisor.
