Job Description
The JobSan Bernardino County District Attorney's Office is recruiting for an Executive Administrative Assistant III to provide high-level administrative and secretarial support to the Chief of the Bureau of Investigation, Assistant Chief, and Bureau Commanders (currently two, with a third anticipated). This position performs highly responsible and complex duties requiring a high level of confidentiality and discretion in a fast-paced, investigative law enforcement environment, supporting multiple executive-level supervisors simultaneously.
Key responsibilities will include:
- Composing written correspondence, reports, and budget justifications; preparing summaries of investigative activity, legislative updates, and administrative findings for command staff review.
- Facilitating day-to-day Bureau operations, including typing letters, reports, agenda items, and technical material from notes, drafts, or recorded dictation.
- Serving as liaison between the Chief, Assistant Chief, Commanders, other DA divisions, allied law enforcement agencies, and the public in situations requiring tact, judgment, and discretion.
- Screening mail, calls, and visitors - including sensitive law enforcement and personnel matters - to determine urgency and appropriate routing.
- Coordinating calendars, meetings, and travel arrangements across multiple command-level supervisors with competing priorities.
- Handling, maintaining, and safeguarding confidential peace officer personnel files and related records protected under the Public Safety Officers Procedural Bill of Rights Act (Government Code §§ 3300-3313) and Penal Code § 832.7, ensuring restricted access, proper storage, and appropriate handling of adverse comments, administrative investigation materials, and other sensitive personnel documentation in accordance with department policy and applicable confidentiality law.
- Maintains strict impartiality and professional boundaries in the performance of duties, and proactively discloses any actual or potential conflicts of interest - including personal or family relationships with Bureau personnel - that could compromise the confidentiality or integrity of command-level deliberations.
- Handling confidential material related to ongoing investigations, personnel actions, and internal Bureau matters with appropriate discretion.
This position serves in the Unclassified Service and at the pleasure of the appointing authority.

The County also offers an alternative Modified Benefits Option (MBO) that provides a wage differential.
CONDITIONS OF EMPLOYMENT
Pre-Employment Process: Prior to appointment, applicants must pass a background investigation which includes verification of employment history and education, fingerprinting, physical exam, and drug screening.

Travel: Travel throughout the County may be required and employees will be required to make provisions for such transportation.
Minimum Requirements
Experience: Four (4) years of full-time equivalent highly responsible, and complex administrative assistant experience in support of a specified executive-level professional or administrative position(s) operating in a work environment that requires a high level of confidentiality and discretion where duties included collecting and analyzing information, drafting reports based upon data analysis and preparing agendas.
Substitution: Bachelor's in public/business administration, management, behavioral/social science, accounting/finance or other relevant field of study may substitute for one (1) year of the required administrative assistant experience.
IMPORTANT NOTE: General clerical experience is NOT considered qualifying. Qualifying experience is typically equivalent to providing direct support to a specified executive-level professional or administrative position(s ) (e.g., Board Office, County Administrative Office, Chief Executive Officer, Agency Director, Department Head, Division Chief).

- Proficiency with Microsoft Office Suite or related software, advanced level in Outlook.
- Ability to manage/support multiple executive level staff calendars.
- Ability to identify solutions to coordinate multiple stakeholders for meetings.
- Highly developed decision making, problem solving, and written communication skills.
- In-depth knowledge of modern office practices, methods, and procedures.
