OVERVIEW

The Kitsap County Commissioners Office is seeking a highly organized, service-oriented administrative professional to serve as an Office Support Assistant. This position provides front-desk, clerical, and administrative support to the Commissioners, County Administrator, Assistant County Administrator, and other Commissioners Office staff while serving as a point of contact for the public, County departments, vendors, and state agencies.

The Office Support Assistant manages calendars and scheduling, coordinates meetings and events, processes records and correspondence, responds to public inquiries, and supports licensing and records management activities. The position requires strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities while providing responsive and professional service.

This position offers the opportunity to support the day-to-day operations of the Commissioner's Office and contribute to effective and accessible County government.

What you will do:

  • Serve as the Commissioner's Office front desk liaison to the public, County departments and offices, and vendors, providing a high level of customer service and ensuring inquiries are addressed promptly and professionally.
  • Receive, screen, and direct telephone calls and respond to inquiries by providing accurate information, explaining procedures based on available knowledge and resources, and referring customers to the appropriate source when necessary.
  • Manage calendars and scheduling for the Commissioners, County Administrator, and Assistant County Administrator, including coordinating meetings, communicating with internal and external contacts, managing event registrations, and tracking RSVPs.
  • Provide a full range of general administrative support, including entering records and preparing, completing, processing, and distributing a variety of written and electronic correspondence and documents.
  • Process incoming and outgoing mail while coordinating office supply ordering, maintaining inventory, and ensuring the Commissioner's Office has the materials and resources needed to support daily operations.
  • Maintain and distribute current contact lists and schedule and maintain display boards in the Administration Building and Courthouse.
  • Provide clerical support to the County Administrator, Assistant County Administrator, Commissioners, and other Commissioners Office staff as directed, including document preparation and distribution, meeting coordination, reimbursement requests, and updating databases and documentation.
  • Create and maintain complex files and filing systems, ensuring records are appropriately organized and accessible in accordance with established procedures.
  • Manage the storage, deletion, and purging of records in accordance with established procedures and retention schedules and assist with public disclosure requests.
  • Receive, process, and respond to all Liquor Control Board applications for liquor and marijuana licenses for unincorporated Kitsap County, coordinating requirements and communications among County departments and the State.
  • Coordinate multiple administrative activities and competing priorities while maintaining accuracy, responsiveness, confidentiality, and a high level of customer service in support of the Commissioner's Office.
  • Perform other duties as assigned to provide comprehensive administrative support to the Commissioner's Office.

What you bring:
  • Professional experience: One year of general office and/or customer service experience, demonstrating ability to provide effective customer service, communicate professionally, and perform routine office duties. Related education demonstrating required knowledge, skills, and abilities to perform the job may substitute for up to six months of experience.
  • Technical background: Strong administrative and clerical experience in a professional office environment is essential , including document preparation, electronic correspondence, database maintenance, records management, filing systems, scheduling, mail processing, and office supply/inventory coordination.
  • Communication/interpersonal skills: Exceptional customer service and communication skills are essential. The successful candidate must be able to interact professionally with members of the public, elected officials, County leadership, employees, vendors, and state representatives; explain procedures clearly; respond to inquiries; and appropriately direct customers to available resources.
  • Additional preferred qualifications:
    • Two years of progressively responsible clerical or office support experience.
    • Experience with word processing, data entry, database maintenance, and preparation of written and electronic documents.
    • Experience with records management, including maintaining organized filing systems and managing records in accordance with established procedures and retention schedules.
    • Experience working in a public agency, such as government, education, or the military.
    • Experience taking meeting minutes or detailed notes and accurately documenting key information, discussions, decisions, and action items.
    • Experience working in an office that provides direct administrative support to executives, elected officials, or senior leadership.
    • Experience using SharePoint, Workday, ILinx, and Zoom to manage information, documents, communications, meetings, or administrative processes.

Holidays
11 paid holidays and 2 additional floating holiday per year. One additional floating holiday after 10 years of service.

Vacation Leave
New employees are credited with 48 hours of annual leave upon hire and will be begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 360 hours from one calendar year to the next. Annual leave accrual will increase upon tenure, as follows:

Upon completion of 2 years: 15 days per year (10.00 hours per month)
Upon completion of 5 years: 20 days per year (13.33 hours per month)
Upon completion of 10 years: 25 days per year (16.67 hours per month)

Sick Leave
All new hires will be credited with 48 hours of sick leave upon hire and will begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 1200 hours from one calendar year to the next.
