The Division of Behavioral Health is seeking a Lead Administrative Support Assistant for Central Office domiciled in Jefferson City, Missouri. This position will provide support to the Director of Recovery Services and the Director of Prevention and Crisis Services.
The salary offered for this position is up to $42,291.12 annually, commensurate with education and experience The salary listed in this job description is a base salary rate. Applicants eligible for retention pay or shift differentials may exceed the salary range listed above.
- Pr ovide support and coordinate activities for Recovery Services, 988, and Prevention.
- Coordinate/schedule meetings and conference calls, review reports for completion and accuracy, update Excel spreadsheets with current report information, distribute reports through a variety of shared sources, compose draft correspondence, prepare expense accounts, prepare materials for meetings and trainings, sort mail/faxes, verify documents for accuracy and consistency, schedule appointments, maintain calendars, update community provider listings, distribute documents, create newsletters, and update website.
- Provide administrative support for the Missouri Eating Disorders Council (EDC) and DBH State Advisory Council (SAC), and Prevention & Crisis Unit programming. Oversees and ensures the accurate and timely preparation and processing of a variety of fiscal, purchasing, and related documents such as meeting minutes. Meetings are held 6 times per year.
- Provide backup phone coverage for Department (Breaks/Lunch-Rotating basis) and Division main lines from 8:00 A.M. - 5:00 P.M. one day per week.
- Assist with planning, organizing, and implementing trainings and process training forms for entire Division.
- Coordinate travel arrangements, including preparation of in-and-out-of-state authorizations, expense and equipment forms, hotel reservations and registration materials.
- Assist Prevention & Crisis Unit with organization and distribution of 988 materials, including approving and handling orders and tracking of materials.
- Provide administrative support for federal grants. Oversees and ensures the accurate and timely preparation and processing of a variety of fiscal, purchasing, and related documents. Prepare and track grants.
- Assist with scheduling speaking engagements. Work with guest speakers to arrange travel and set up for their presentations, arrange cross-collaboration meetings with other departments, conferences, summits, etc. both in-person and virtual. When appropriate, arrange for CEUs and online registration.
- Schedule and attend monthly and special meetings, take minutes, prepare and distribute reports of minutes.
- Extract attendance data for virtual trainings, meetings, learning collaboratives and events through Webex Meetings and Events, prepare and edit reports.
- Assist with data entry to include merchant education activities, community coalition database, annual provider review data entry, Synar data, and other as needed.
- Review and follow all department DORs, policies and procedures, and the employee handbook.
- Assist other clerical support staff when needed.
- Other duties as assigned.
Applicants must have 3-5 years of relevant clerical experience. Must be well-organized and able to successfully manage work priorities. Applicants must possess proficient written communication skills.
