Position Summary

Are you an experienced administrative professional interested in bringing your skills to San Diego State University while supporting departments during critical staffing needs? SDSU is establishing a pool of qualified candidates for temporary and emergency hire Administrative Support Coordinator II opportunities across the university. These appointments provide short-term administrative support to academic departments, colleges, administrative offices, programs, and other university units experiencing vacancies, leaves, workload demands, or other temporary operational needs.

Administrative Support Coordinators play an important role in keeping university operations organized, responsive, and moving forward. Depending on the assignment, responsibilities may include coordinating office operations, budgets and purchasing, personnel or academic processes, scheduling, records and reporting, communications, events, and special projects. These positions require strong organization, sound judgment, attention to detail, and the ability to independently manage multiple priorities while serving as a knowledgeable resource to faculty, staff, students, administrators, and other stakeholders.

Appointments will be made as temporary staffing needs arise and may vary in duration, schedule, department, and responsibilities. Temporary appointments may be eligible for reappointment based on operational needs and applicable university policies.

Key Responsibilities

Depending on the assignment, responsibilities may include:
  • Administrative Operations: Coordinate complex administrative and office functions, maintain records and systems, manage calendars and deadlines, support meetings and events, and help ensure efficient day-to-day operations.
  • Budget & Resource Support: Track financial activity and coordinate purchasing, payments, reimbursements, travel, and other transactions while maintaining accurate records and following university procedures.
  • Personnel & Program Coordination: Support personnel, academic, programmatic, or operational processes by preparing and tracking documentation, maintaining confidential records, and coordinating activities such as recruitment, appointments, onboarding, evaluations, or scheduling.
  • Project Coordination: Coordinate administrative projects and initiatives from planning through completion, monitor timelines and deliverables, research issues, and recommend practical solutions.
  • Communication & Customer Service: Serve as a resource to faculty, staff, students, administrators, visitors, and external contacts by responding to inquiries, communicating procedures, and connecting stakeholders with appropriate resources.
  • Policy & Procedure Support: Interpret and apply established university policies and procedures, identify administrative issues or discrepancies, and exercise sound judgment in determining appropriate next steps.
  • Staff & Workflow Support: Depending on the assignment, provide training, coordination, or general lead work direction to support staff or student employees and assist with organizing workflow and priorities.

Position Information
  • This recruitment will be used to fill full-time or part-time appointments on a temporary basis, depending on the staffing need. Temporary appointments are made for a specified period and may be renewed or end earlier in accordance with the applicable Collective Bargaining Agreement. Eligibility for benefits varies based on appointment type, time based, and applicable CSU policies and the Collective Bargaining Agreement.
  • These positions are designated non-exempt under FLSA and are eligible for overtime compensation.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Administrative Support Coordinator II opportunities may be available across a variety of university units. Depending on the assignment, the position may support an academic department or college, administrative office, specialized program, or other campus operation. The specific department, reporting structure, responsibilities, work schedule, and appointment type will be communicated to candidates when they are considered for an available opportunity.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/ vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications
  • Demonstrated experience coordinating administrative or office operations and managing multiple priorities, projects, and deadlines.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate records and follow through on complex processes.
  • Ability to interpret and apply policies and procedures, exercise independent judgment, and resolve administrative problems.
  • Strong written and verbal communication skills and the ability to work effectively with a variety of internal and external stakeholders.
  • Experience with office technology, software applications, and administrative systems, with the ability to quickly learn new tools and processes.
  • Working knowledge of budget, purchasing, personnel, scheduling, records management, or other administrative functions is desirable.
  • Experience working in a large or complex organization, such as a university, government or public agency, healthcare organization, nonprofit, or similarly structured environment, is preferred.

Compensation and Benefits

Compensation:
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.
  • Initial step placement is not expected to exceed Step 1($4,367 per month) for highly qualified candidates.
  • Salary step placement for internal applicants will follow the CSUEU / Teamsters Collective Bargaining Agreement.
  • CSU Classification Salary Range: $4,367-$6,362 per month (Step 1 - Step 20).
  • Future increases, including step advancements, are subject to contract negotiations.
