Job Summary The Office of Admissions seeks a proactive, analytical, solutions-oriented professional to join our team as a Program Coordinator within the Exam Administration Unit, who oversees the planning, coordination, and administration of the California Bar Examination and other State Bar-administered exams. This position will support the coordination, execution, and continuous improvement of large-scale exam operations. The Program Coordinator will assist the Program Manager and Program Supervisor in preparing exam-related materials, such as forms and instructions, and training materials; assist with exam-related logistics; and respond to applicant inquiries. The Program Coordinator may also serve as a Committee Coordinator for sub entities of the Committee of Bar Examiners. A strong ability to adhere to policies and procedures and apply them accurately is essential.
In addition to core responsibilities, all staff in the Office of Admissions are assigned to administer the California Bar Examination and the First-Year Law Students' Examination, which may require overnight travel up to four times a year. The role demands a proactive and organized professional who thrives in a fast-paced environment, maintains a high standard of accuracy in their work, and consistently resolves issues with clarity and confidence. Ideal Candidate Success in this role requires the ideal candidate to demonstrate sound judgment, maintain confidentiality, and have exceptional organizational skills, all while approaching challenges with a proactive, solutions-focused mindset. The ability to communicate effectively, verbally and in writing, is critical, as the role involves frequent interaction with applicants, colleagues, and external parties. Experience utilizing Salesforce for case processing and reporting is essential to the position. Prior experience with large-scale event coordination may also be beneficial. Proficiency in Microsoft suite is also a plus.
Definition Under general direction, the Program Coordinator performs professional administrative coordination and development of activities supporting assigned State Bar programs.
Distinguishing Characteristics The Program Coordinator classification is distinguished from the higher-level Program Analyst in that the Program Coordinator is focused on administrative coordination. In contrast, the Program Analyst is the professional class providing analytical expertise regarding programmatic or functional systems and procedures. It exercises a higher degree of independent judgment and performs more complex work.
Examples of Essential Duties - Duties may include, but are not limited to, the following:
- Performs professional work in support of State Bar programs and services involving the knowledge, interpretation, and application of State Bar policies, rules, regulations, and procedures.
- Reviews processes and maintains program transactions, records, and other documents; assists in preparing and maintaining statistical data, reports, correspondence, and special studies; and conducts research.
- Provides input in developing and evaluating program policies and procedures, evaluates, and proposes changes concerning the methods of operation.
- Responsible for developing and monitoring the annual budget in assigned areas and creating financial and programmatic reports.
- May train other staff in program procedures to ensure the proper level of support for ongoing activities of the department.
- Represents the State Bar at programs and functions, coordinates activities with other State Bar departments and outside agencies, and responds to inquiries from attorneys and the public.
- Coordinates the development of publicity, materials, speakers, registration, and programs for various State Bar events.
- Designs, creates, remediates, and places content materials on the State Bar website.
- Prepares meeting site operations, including a schedule of events and timelines, communicates program requirements, and assists with facility negotiations.

Minimum Qualifications Education:
High school diploma; college degree preferred or a combination of education and experience sufficient to perform the position's duties.
Experience:
One (1) year of progressive experience in administrative or program-related work.
